A recognised leader in innovation and technology, the College of Engineering (CoE) at Nanyang Technological University, Singapore (NTU Singapore) comprises five internationally renowned schools, each with its own specialisation.
The Role
The Executive, Administrative and Outreach plays an important role in supporting and facilitating the outreach and admissions campaigns and activities of the College. Stationed in the Dean’s Office of CoE, you will execute the full spectrum of administrative and operational support (pre-event to post-event) for events, workshop, visits, seminars, talks and learning journeys, etc. You will also assist with the post-event reporting and analysis of outreach activities, to further refine and improve future events to achieve outreach objectives of the College.
You will provide administrative and logistical support for the Dyson-NTU Studio to ensure its smooth running and operations. You will also support the office in the administration and analysis of admissions and scholarships to achieve the College’s targets. In addition, you will provide administrative and secretariat support to the Associate Dean, Students (ADS), which includes (but not limited to) appointment/ meeting scheduling, documentation, report compilation and submission and purchases. In your course of work, you will be required to coordinate with various stakeholders.
Key Responsibilities:
Manage ADS’s role-based email account and calendar.
Provide full spectrum of administrative and operational support (pre-event to post-event) to the office for outreach activities and events in areas such as coordination, purchases, logistics, marketing communications, collation of information, data collection and analysis, etc. This will involve the coordination and collaboration with internal and external stakeholders.
Assist in planning and developing effective and engaging outreach events.
Manage and execute outreach events on-site to ensure smooth running of events and participate in outreach events.
Update databases for outreach events and conduct post-event surveys and reporting to improve future outreach activities and achieve outreach objectives.
Promote the College’s programmes to prospective students at outreach and admissions events/activities.
Provide administrative and operational support to engineering schools on outreach activities and events, etc.
Provide full administrative and logistical support to the running and management of the Dyson-NTU Studio.
Timely relay of updates and changes to admissions and scholarship offers, and accurate data processing, analysis and reporting for the team’s recommendations to achieve targets.
Timely and accurate collation of required information and inputs for submission.
Any other ad-hoc tasks related assigned by the ADS office to contribute to the overall success and functioning of the team and College.
Requirements:
Degree from a recognised university.
Minimum 3 years of relevant working experience.
Excellent organisational and time management skills, combined with the ability to effectively set priorities and goals, and manage multiple projects simultaneously.
Excellent interpersonal and communication skills to effectively collaborate with stakeholders of various levels.
Good project and event management skills.
Good knowledge of Microsoft Office skills.
Demonstrated critical thinking and problem-solving skills.
Knowledge of the higher education market in Singapore and Asia-Pacific region is advantageous.
Flexibility and adaptability in a fast-paced environment.
