We are looking for a Talent Coordinator who reflects the collaborative mindset, production excellence and passion for great filmmaking that define ILM.
The Talent Coordinator is responsible for working closely with one or multiple talent managers, assisting in VFX crew and capacity management in the ILM studio. Overall the role’s purpose is to support the talent management team, artists, production teams, editorial and art departments with a positive experience working at ILM.
Your role?
Updating and maintaining crewing and capacity spreadsheets and databases
Maintain the film credit database and reviewing names with managers
Coordinating ongoing departmental meetings and hosting social events
Preparing agendas for various artist meetings, taking notes and disseminating as appropriate
Working with HR and training to assist with new artist onboarding tasks
Coordinating post project, probation and annual reviews, as well as surveys and show mortems
Facilitating all timecard and leave processes and ensuring they are maintained in production tools
Providing artists, production teams, editorial and art departments with employee-related support including leave, seating, timecards, onboarding, and general inquiries, etc.
Providing general administrative support to the talent managers including calendar management, exit procedures, capacity and leave communication, review dissemination and miscellaneous tasks
With oversight from the Senior Talent Managers, partnering with other teams such as Facilities, HR, Finance, Production, and Technology to ensure talent management processes are followed
To be a contributing member of this team, you will have a mix of these skills:
Experience in an HR, production, or related industry is a plus
Proven problem-solving skills and VFX knowledge are an additional advantage
Happy to take on a variety of responsibilities all contributing to the end goal of a supportive and positive team environment with high levels of self-motivation and proactiveness
Must be able to work quickly, adjust to changes and effectively turn around reports and analysis in a timely manner.
Excellent communication skills both verbal and written along with administrative and organisational detail
Confident in Microsoft Word and Excel, Google Suite, and proven calendar management skills
