The profile

The Workplace Experience Manager will lead the office management team, focusing on team development, and performance. This role involves managing office operations, enhancing office-related services, and driving improvements to existing facilities while establishing new ones. Key responsibilities include supervising office projects, optimizing workspaces, ensuring and enhancing positive workplace experiences. The role also emphasizes project management, office design, market research, process improvement, and cross-functional collaboration to foster a high-performing team and a productive, efficient workplace environment.

Responsibilities:

Office Management & Team Leadership:
- Oversee and standardize the Office Management (OM) function across locations, ensuring efficiency and consistency.
- Lead and develop the OM team through hiring, training, goal-setting, and performance evaluations.
- Foster a collaborative, service-oriented culture and ensure alignment with organizational goals.

Workplace Experience & Engagement:
- Drive initiatives to enhance workplace productivity and employee well-being, aligned with company values.
- Plan and execute events and activities to boost employee engagement and morale.

Project Leadership & Facilities:
- Manage office-related projects, including design, renovations, and workplace enhancements, ensuring timely and quality delivery.
- Coordinate the setup of new office locations in collaboration with relevant teams.

Office Design & Innovation:
- Develop office space concepts that meet employee needs and reflect industry best practices.
- Stay informed on trends to integrate innovative solutions into workplace designs.

Budget Management:
- Manage OM and project budgets, ensuring cost-effectiveness and adherence to financial guidelines.
- Monitor expenditures and identify opportunities for savings.

Process Improvement & Policy Development:
- Optimize office management processes and develop/enforce relevant policies and standards.

Collaboration & Risk Management:
- Work closely with HR, IT, Finance, and other departments to align office projects with company objectives.
- Proactively identify and mitigate project risks to ensure seamless operations.

Sustainability & Technology Integration:
- Promote eco-friendly practices in office design and operations.
- Leverage technology to improve workplace efficiency and automate processes.

Qualifications & Skills:

• Confident in decision-making, proactive, and focused on driving outcomes in complex environments.

• Strong organizational skills to manage multiple tasks, projects, and deadlines with precision.

• Proven ability to lead, mentor, and develop high-performing teams, fostering collaboration and growth.

• Excellent interpersonal skills to collaborate effectively across functions, levels, and geographies, both in-person and virtually.

• Skilled in tools like Asana, Slack, and Confluence, with a strong ability to analyze data and provide actionable insights.

• Proven track record in office management, project management, or similar roles, with leadership experience.

• Proficient in English (Upper Intermediate or higher); Ukrainian (nice to have).

• Willingness to travel as needed.
