Job Description Summary:

Responsible for admitting patients to the hospital (inpatient and outpatient) and processing all related records. Acts as liaison with patient’s family or responsible party at time of admission. Reception duties will include switchboard, in-house pagers, and communication and cashier functions. Generates a variety of reports for admitting as well as other departments. Performs additional responsibilities while working at Imaging and Lab reception/registration desks and other tasks for Patient Financial Services department.

  • Provides courteous and prompt reception/admitting services to ensure good client relations.
    • Greets and registers in and out patients, interfaces with staff, medical staff and the public in a pleasant professional manner.  (EF)
    • Collects essential information for processing all admissions forms and obtains required signatures on forms as specified in the policy and procedure manual.  Insures patient is aware of hospital policies.  (EF)
    • Enters all patient history into computer.  Generates registration form from attached systems printer.  Separates and disburses registration and other applicable forms.  (EF)
    • Checks for previous admissions, verifies medical record number or assigns a new medical record number when applicable.  (EF)
    • Verifies with patient, patients name, spelling of name, address of patient and insurance address. Uses on-line service for demographic verification. Uses on-line verification program for real time coverage.  (EF)
    • Obtains and copies insurance cards and driver license.  (MF)
    • Verify patient’s identity upon each visit.  (MF)
    • Obtains subscribers name, date of birth and address in accordance with HIPAA requirements.  (EF)

  • Provides PBX and paging services, KVA communication and telephone services.
    • Answers and responds to telephone inquiries in courteous and responsive manner leaving appropriate messages to staff members, screening and directing calls.  (EF)
    • Maintains a list of emergency numbers, fire, police, ambulance, on-call personnel and physicians.  (MF)
    • Maintains a list of department supervisors and personnel and all extension numbers.  (MF)
    • Handles code calls when necessary and other alarm messages.  (EF)
    • Maintains radio communications with ground and air ambulance when nursing is not available by second page.  (EF)
    • Contacts on call personnel or physicians as needed either through the PBX or KVA radio. Informs emergency room or appropriate hospital personnel as a courtesy when patient calls to say they are coming to the hospital.  (EF)
    • Listens to all dispatches from Whitefish Police Department and notifies House Coordinator or Emergency Room staff of all ALS calls.  (EF)
    • Pages overhead or on in-house paging system for appropriate party.  (MF)
    • Provides cashiering functions described in policy and procedure manual.  (MF)

  • Generates, assembles and distributes an array of reports and paperwork.  Assumes additional work from business office as necessary.
    • Maintains current list of patients by name and room.  (EF)
    • Assumes additional responsibility, when necessary, from Patient Financial Services and other departments.  (MF)

  • Provides cashiering functions as well as collection of services rendered. Distributes mail when applicable.
    • Advises patient of up-front collection policy and collects for services rendered, records and issues receipts for amounts received.  (MF)
    • Advises private pay patient of discount offered. Also qualifies patient for Charity Fast Track, with on-line form.
    • Assures the appropriate amount $200.00 is in the cash box, and prepares daily deposit, processes VISA, Master Card and American Express daily.  (MF)
    • Verifies and pre-certifies insurance for patient.  Documents in computer any pertinent information.  (MF)
    • Makes suggestions on ways to improve customer relations and admitting functions.  (MF)
    • Prints itemized bills or preliminary bills for patient’s convenience.  (MF)
    • Has point of sales collections for clinical outpatient visits.  (MF)
    • Assists patients with Medicaid applications.  (MF)

  • Imaging Department Responsibilities
    • Registers patients that are seen for DEXA appointments.  Correctly registers any add on Mobile Ultrasound patients.
    • Provides clerical and other assistance to Imaging Department:
    • Follows up with physicians’ offices to correct incorrect or collect missing orders.

  • Lab Department Responsibilities
    • Check accuracy on specimens; verify insurance; update address and phone; and update additional information: Social Security Number, Next of Kin, etc.  (EF)
    • Check reports daily and clean/correct:  1. Patient type—not client; 2. Patient type Client; 3. Conversion visits.  Also assist with incomplete MSP and Billing CRC Reports.  (MF)

  • Other duties as assigned.
    • Evaluates and considers the need for Lean Processes, Service Orders and overall workflow processes in order to achieve more efficient and streamlined procedures.  (MF)

    • Reports any violation or suspected violation of this Code or other hospital policies or procedures to supervisor, Compliance Officer or through the compliance hotline.  (EF)
    • Attends and/or completes mandatory training regarding organizational compliance.  (EF)

Education and Experience Requirements

Requires: Work experience in direct customer service; computer and 10-key calculator proficiency and data entry skills; effective verbal and written communication skills and organizational skills; customer service skills; and ability to multi-task.

May Require Skills Testing that may include:

  • Data Entry – Alpha Numeric
  • Typing – General

Yearly Healthstream training and testing: HIPAA Privacy and Security for Registration/Front Office Staff, Customer Service, HFMA Billing Suite and or equivalent.

Desired: six (6) months previous office receptionist experience; strongly desire Medical office reception or hospital admitting experience; and customer service training.

Shift:

Day Shift - 8 Hours (United States of America)
