The Event Coordinator for Facilities is responsible for planning, coordinating, and executing events within JLL-managed properties and facilities. This role ensures seamless event operations while maintaining facility standards and client satisfaction.

Key Responsibilities

Event Planning & Coordination Collaborate with clients, tenants, and stakeholders to understand event requirements and objectives. Develop comprehensive event plans including timelines, logistics, vendor coordination, and resource allocation. Manage event budgets and ensure cost-effective execution while maintaining quality standards.

Facility Management Integration Work closely with facility management teams to ensure events comply with building regulations, safety protocols, and operational procedures. Coordinate space setup, breakdown, and restoration to original condition. Monitor facility capacity limits and ensure proper permits and insurance requirements are met.

Vendor & Stakeholder Management Source, negotiate with, and manage relationships with external vendors including catering, audiovisual, security, and cleaning services. Serve as primary point of contact for event clients and maintain ongoing communication throughout the planning process. Coordinate with building management, security, and maintenance teams.

Event Execution & Support Oversee on-site event setup, execution, and breakdown to ensure smooth operations. Troubleshoot issues in real-time and implement contingency plans when necessary. Conduct post-event evaluations and facility inspections to ensure proper restoration and identify improvement opportunities.

Required Qualifications

Education & Experience Bachelor's degree in Event Management, Hospitality, Business Administration, or related field. 3-4 years of experience in event coordination, preferably in commercial real estate or facility management environments. Experience with corporate events, tenant functions, and building-specific logistics preferred.

Technical Skills Proficiency in event management software and project management tools. Strong understanding of facility operations, building systems, and space utilization. Knowledge of safety regulations, fire codes, and accessibility requirements for commercial properties.

Core Competencies Excellent organizational and multitasking abilities with strong attention to detail. Superior communication and interpersonal skills for client and vendor relationship management. Problem-solving capabilities and ability to remain calm under pressure. Flexibility to work evenings, weekends, and irregular hours as events require.
