Job Summary:

As a Project Administrator, you will assist and support the development team in all functions related to real estate acquisitions, development, and dispositions. You will manage a database for business development contacts, provide organizational support including filing and presentation package preparation, assist with project construction documentation, and coordinate project design and design consultant contracts. Additionally, you will support project property management coordination for various projects, including new high-rise, mid-rise, on-grade, and mixed-use office/retail/residential developments throughout Greater Vancouver and Vancouver Island.

Essential Responsibilities:

  • Coordination of internal and external project team members and meetings from various disciplines including land acquisition, legal, finance, design, construction, leasing, marketing, accounting, and property management
  • Completes administrative and recordkeeping tasks such as: photocopying, filing, faxing, data entry, coordinating mail and couriers and preparing and distributing correspondence
  • Maintains Ledcor systems and procedures including: maintenance of master filing system, update of various contact and distribution lists, set up of new vendors/subcontractors and project directory, project billings and cost accounting system
  • Communicates with management, staff, contacts and visitors, and acts as a resource for general administrative inquiries and information
  • Supports development operations on various tasks such as: tracking and uploading subcontractor insurance information and lien releases, and close-out activities

Qualifications:

  • Minimum 2 years of experience in a project administrative position or similar role
  • Experience within a similar environment or related industry an asset
  • Experience using MS Office, and an aptitude for learning various computer systems
  • Excellent written and verbal communication skills with strong attention to detail and accuracy
  • Provides a high attention to detail while reviewing a high volume of documentation
  • Proactive, self-motivated, problem solver and results oriented
  • Ability to work independently, manage multiple tasks and set priorities
  • Capable of understanding and following written procedures
  • Excellent customer service focus with an ability to work collaboratively with others
