We’re Hiring: Account Executive

We’re seeking a highly organised, proactive, and detail-oriented Account Executive to join our team and ensure smooth operations behind the scenes. This role is not client-facing in the traditional sense. While you’ll provide support to our account teams and contribute to client projects, your primary focus will be on administrative tasks and internal coordination—particularly as we transition to our new finance systems and navigate the additional documentation and processes it entails.

Key Responsibilities

Project and Client Support (20%)

• Provide support to account teams with client communications and project tracking.
• Assist in scheduling client meetings and review sessions.
• Participate in internal status meetings and maintain accurate and up-to-date action logs.

Administrative and Process Support (80%)

• Take ownership of creating and managing job numbers, purchase orders, supplier forms, and invoices within the new finance system.
• Maintain internal documentation and trackers, including budget updates, team capacity, and project timelines.
• Liaise with finance and production teams to ensure efficient project administration and compliance with internal processes.
• Format and archive key materials for both internal and external use.
• Support preparation for internal reviews and team check-ins, including drafting agendas, capturing meeting notes, and following up on action items.
• Ensure databases and shared folders are consistently updated and well-organised to support team efficiency and clarity.

Skills & Experience

• A highly organised individual with a strong affinity for administrative tasks and process management.
• This could be your first role in the creative business
• Confident working with numbers, trackers, and budgets—proficiency in Excel or Google Sheets is a strong advantage.
• Comfortable adapting to new systems; prior experience with Sales Force or similar platforms is beneficial.
• Excellent written and verbal communication skills.
• Able to remain composed under pressure and manage multiple teams and deadlines effectively.
• Possesses a positive, solution-oriented mindset and is known as a reliable team player.
