Position Summary:
The Clerkship Coordinator provides essential administrative and logistical support for the successful operation of assigned medical student clerkship programs within the School of Medicine. This role ensures a seamless educational experience for medical students by coordinating rotations, managing student records and evaluations, and serving as a key liaison between students, faculty, preceptors, and the administration.
Essential Functions (Principal Duties and Job Responsibilities):
- Coordinate the scheduling, organization, and daily operations of assigned medical student clerkships, including rotation assignments, didactic sessions, and examinations.
- Serve as the primary administrative liaison and resource for medical students, faculty, preceptors, and clinical sites regarding clerkship policies, procedures, and logistical inquiries.
- Manage and maintain comprehensive student records, including evaluations, grades, attendance, and compliance with institutional and accreditation requirements (e.g., LCME).
- Facilitate the evaluation process by distributing and collecting student and faculty evaluations, tracking completion, and assisting with grade reporting and submission.
- Provide administrative support to the Clerkship Director, including calendar management, scheduling meetings, preparing reports, and developing educational materials.
Knowledge, Skills and Abilities Required:
- Demonstrated organizational and time management skills with meticulous attention to detail and accuracy in record-keeping.
- Excellent interpersonal and communication skills (verbal and written) to interact effectively with diverse populations including students, faculty, and staff.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with educational software/databases (e.g., learning management systems, evaluation platforms).
- Ability to work independently, prioritize tasks, and manage multiple projects simultaneously in a fast-paced academic environment.
- Discretion and ability to maintain confidentiality of sensitive student and program information (e.g., grades, evaluations, personal matters).
Knowledge, Skills, Abilities Preferred:
- Familiarity with medical school curriculum and LCME accreditation standards.
- Experience with specific medical education platforms (e.g., MedHub, Blackboard).
- Demonstrated problem-solving skills and ability to anticipate and address logistical challenges proactively.
Education and Experience Required:
- Bachelor's degree from an accredited college or university with a minimum of 5 years of professional or administrative experience.
- Minimum of three years of related administrative experience, preferably in a healthcare or academic setting.
Education and Experience Preferred:
- Bachelor’s degree in business administration or a related field.
- Experience within an academic medical center or medical school environment.
