The Service Operations Administrator provides general administrative and clerical services within the Service Operation Department. The role is crucial in supporting the department's seamless execution of service projects and ensuring the effectiveness and efficiency of all operational processes.

How you’ll make an impact:

  • You will assist the Operations Manager or Project Manager in identifying specific project actions and notifications required to meet contractual obligations during project execution, support the identification of the contract baseline and the development of project wall charts, acknowledge orders in the SAP system, ensuring accuracy and timely processing, prepare payment requests and customer invoices, maintaining clear communication with clients regarding financial transactions.

  • You will collaborate with the Supply Chain Management team and initiate Purchase Requisitions and Purchase Orders for suppliers and subcontractors in alignment with project requirements, work with Supply Chain Management on material and goods receipts.

  • You will process Supply Orders and Service Execution Order invoices, handle tax matters, and ensure all receipts are properly placed with customers, prepare documentation and provide administrative assistance within the Service Operation Department.

  • You will implement Hitachi Energy Service Operations processes and actively engage with team members in the continuous improvement of procedures to maximize departmental efficiency and effectiveness.

  • You will maintain records, databases, filing systems, and archives in both electronic and physical formats to ensure easy retrieval and compliance with record-keeping standards, conduct inquiries into specific contract or subcontract issues as assigned, and assist in the preparation of periodic status reports.

  • You will organize materials and logistics for meetings, presentations, and training sessions, and perform general administrative activities as required within the Service Operation Department.

  • You will be responsible to ensure compliance with applicable external and internal regulations, procedures, and guidelines.

Your background:

  • A bachelor’s degree in business administration or a related discipline is required.

  • Possess 4 to 7 years of relevant experience in administrative or operational support capacities.

  • Demonstrated administrative expertise with experience supporting operational or project-based functions, familiarity with SAP systems is highly desirable, proactive and methodical thinkers with a positive attitude and outstanding collaborative skills.

  • Strong analytical and strategic thinking skills, with the ability to translate data into actionable insights. Exhibits a strong willingness and aptitude to acquire new competencies and adjust to evolving requirements.

  • Must be detail-oriented, highly organized, and adept at managing multiple priorities. The position necessitates exceptional communication abilities and the capacity to work both independently and effectively within a dynamic team environment.

  • Excellent communication, negotiation, and presentation skills (both written and verbal) in English and Thai.
