The Opportunity

The role of the Institutional Coordinator is to act as an integral business partner supporting the activities of the Institutional Client Management team.  The role will be responsible for the coordination of the daily operations of the team by providing proactive administrative services.

What You Will Do

Provide administrative support to team members

  • Manage calendars and coordinate the logistics of virtual and in-person meetings with internal partners and external clients.

  • Book travel, register conference attendees, and complete travel & expense reports.

  • Ensure that activities with clients are in compliance with the Business Entertainment and Workplace Gifts (BEWG) policy.

  • Coordinate the onboarding of new team members from an administrative and systems perspective.

  • Preparation of presentations and reports, database management and purchase office supplies

Support of Marketing and Thought Leadership Activities

  • Coordination of mailing campaigns for Events, including Thought Leadership events, and the distribution of marketing materials.

  • Coordination of the logistics of certain Fidelity events where clients, prospects, and consultants are invited.

Participation in Projects and Ongoing Initiatives

  • Use of Salesforce for account/contact creation and edit, mailings, account segmentation, and creating and generating reports.

  • Be a member of the project team working to leverage on an ongoing basis the capabilities of Salesforce in order to advance the business.

  • Involvement in registering client users and troubleshooting issues for our client portal, FidelityView.

  • Creation and distribution of reporting for clients and consultants.  Participation in projects as they are developed and implemented.

Market and company/organization research

  • Conduct research in order to assist in the prospecting process and improve the quality of interactions with clients.

What We’re Looking For

  • 1+ years of relevant administrative experience

  • Experience within financial services industry is an asset

  • Secondary School/College or University degree with business administration/commerce courses or equivalent work experience

  • Strong verbal and written communication skills to build on good interpersonal and relationship building skills to be leveraged within the Institutional team and the broader organization.

  • Ability to pro-actively organize and prioritize workload and competing demands in a fast paced  environment.

  • Adaptable to change with keen attention to detail

  • Strong computer skills in MS Office (Word, Excel, PowerPoint, and Outlook) and experience using a CRM system such as Salesforce.

  • Bilingualism (fluency in English and French) is an asset.
