Your Opportunity

One Permanent Full Time Position.

The Specialist, RIM is accountable for the ongoing development, implementation and sustainment of the Capital Power Corporation (CPC) records and information management program for operations and asset management. This includes the development, implementation and sustainment of policy and procedures related to the full lifecycle management of records and information.

You will contribute to our team by:

  • Ensuring organizational records are created, captured, accessed, managed and stored in accordance with CPC policies, industry standards and legislative requirements.
  • Establishing and enforcing policies and procedures to protect sensitive and confidential information.
  • Acting as a technical expert on records and information management for the full lifecycle management of physical and electronic records and information.
  • Providing training and support to staff on records management best practices.
  • Creating and maintain a database inventory of on-site and off-site records.
  • Managing CPC’s electronic management system (ERM) used to track, store and manage documents, including document organization, access permissions and templating.
  • Managing the CPC retention schedule, including the development and implementation of updates, as required, including records classification, retention and disposal schedule updates.
  • Developing and execute scheduling plans.
  • Overseeing the digitization of paper records and the migration of records into new formats or systems.
  • Overseeing content relocation between authorized records repositories on behalf of partner areas.
  • Labeling, preparing and transferring information files according to established content management life-cycle procedures and schedules.
  • Boosting efficiency and productivity by streaming methods for accessing and retrieving records by eliminating redundant or inconsistent records to maintain accuracy and reliability and maximize the use of available storage space, whether physical or digital.
  • Evaluating and recommending new records management technologies and equipment.
  • Implementing mitigation measures and controls to address risks including inadvertent or unauthorized access, lost/misplaced records or damage to information assets that may result in legal issues, financial penalties or reputational impacts.
  • Conducting quality audits and develop and implement quality management and quality assurance standards.
  • Ensuring an on-going relationship with key cross-functional groups, including Senior Level employees with content management responsibilities.
  • Managing the adoption of new electronic repositories, including external data rooms.
  • Serving as a primary contact for all offsite storage locations for physical records.

What you will bring to the role:    

Education:

  • Completed post-secondary Degree in Information Management or related education.
  • Education equivalency may be considered.

Experience:

  • 5+ years of experience within a regulated industry.
  • Extensive expertise in navigating regulatory obligations across Canada and the US.
  • Records certification (i.e., Certified Records Manager, Certified Records Analyst, Information Governance Professional)
  • Familiarity with the interpretation and application of privacy legislation considered an asset.
  • Certified Information Privacy Professional credential considered an asset.
  • Proficiency in ERM systems and software applications.

Technical Skills:

  • Ability to exercise independent judgement, excellent problem-solving skills, and ability to effectively prioritize.
  • Demonstrated experience working in a team-oriented environment.
  • Ability to multi-task and manage several projects in conjunction with ad hoc requests.
  • Strong organizational and time management skills.
  • Ability to build positive and productive relationships with internal and external stakeholders.
  • Excellent verbal and written communication skills, with an ability to simplify complex issues
  • Strong organizational and project management skills
  • Intermediate to advance knowledge of SharePoint solutions and strong database experience

Working Conditions:

  • Hybrid Office/Work from home position, with possible very minimal travel to meet business users at Capital Power facilities or other offices.
