JOB SUMMARY

Provide administrative support to assigned senior leaders to include, calendar management, travel arrangements, preparing presentations, and preparing expense reports.  Supervise daily responsibilities of a team of one to three administrative assistants

Essential Functions:

  • Hire, train and supervise a team of 1-3 admin assistants.
  • Schedule and organize complex activities, meetings, travel, conferences, and department activities.
  • Perform calendar management including coordinating meetings and calls
  • Create written correspondence, announcements, and presentations
  • Handle confidential information with discretion.
  • Act as a project manager for special projects.
  • Plan and coordinate Senior Management Meetings, Summit Meetings, and Sales Conferences including securing venues, travel arrangements and all activities.
  • Receive and distribute press releases and general information.

Requirements:

Education:

  • HS Diploma required, Bachelor’s degree strongly preferred

Experience:

  • 5-7 years executive administrative experience required
  • 2-3 years’ experience leading a team strongly preferred

Professional Skills:

  • Excellent verbal and written communication skills.
  • Must be able to maintain the highest level of confidentiality.
  • Must be very detail-oriented and have organizational skills.
  • Ability to interface well with all departments within the company and to represent the President in a highly professional manner
  • Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization.
  • Possess a high degree of proficiency with MS Office products including Word, Excel, PowerPoint, and Outlook.
  • Proven leadership skills
  • Proven ability to build strong relationships with internal and external customers
  • Proven ability to produce timely and accurate results
  • Strong technical and organizational skills
  • Must be able to deal with high pressure situations and deadlines
  • Ability to juggle multiple priorities
  • Some travel may be required


Physical Requirements

  • While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls and talk and hear
  • The associate frequently is required to sit for prolonged periods of time and use the telephone frequently
  • The associate is regularly required to stand, walk and reach with hands and arms
  • The associate must regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus

Work Environment

  • Job is performed in an office environment with some time spent in the operations area. While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to contained toxic or caustic chemicals, risks of electrical shock, and risk of radiation. The noise level in the work environment is usually moderate.


Work Hours

  • This is a full-time position. The incumbent must have the ability to work a varying schedule which might include shift work (days or nights), weekdays or weekends, and some holidays. Work hours may vary or change based on departmental requirements.
