As the Accounts Payable Clerk you will be responsible for processing and managing all outgoing payments for the company. This role involves verifying intercompany and third-party invoices, maintaining vendor records, and ensuring compliance with financial regulations.

In this role, you will be responsible for:

  • Invoice Processing: Review and verify invoices for accuracy, ensuring proper documentation and approval. Inventory invoices packs to be checked and ensure completeness before processing.
  • Payment Processing: Prepare and process payments for all vendors, ensuring timely payment to vendors. Support Working capital targets
  • Payment Processing: Processing all cash claims and ad hoc payments as required by the business
  • Vendor Management: Maintain accurate vendor records and establish strong relationships with suppliers. File all relevant documents and maintain active B-BBEE certificates for all vendors.
  • Reconciliation: Prepare monthly reconciliation of vendors; reconcile accounts payable to the general ledger.
  • ICO Reconciliation: Ensure monthly confirmation of balances between South Africa and Hach suppliers
  • GRNI: Review open items monthly; Review if all significant balances over 120 days from the date of receipt are individually explained and supported within the GRNI subledger/reconciliation.
  • Reporting: Generate reports on accounts payable activities, outstanding invoices, and cash flow as needed.  Prepare ad hoc as requested.
  • Payroll support: Complete the Fuel tracker and Videojet Per diem by day 10
  • Compliance: Ensure adherence to company policies, standard works and accounting principles, as well as local, state, and federal regulations. Support external auditors with queries.
  • Communication: Liaise with internal departments and vendors to resolve payment discrepancies, procurement and answer inquiries
  • Corporate card: Reconcile monthly account and ensure submission of Citi claims on time. 
  • Ad hoc support: Support team during leave periods re Bank reconciliation, VAT and customer master data

The essential requirements of the job include:

  • Bachelor’s degree in accounting, finance or a related field
  • Strong understanding of accounting principles and financial regulations
  • Proficient in the use of accounting software and ERP systems ie. Oracle, SAP
  • Microsoft Excel skills
  • Proven experience as an accounts payable clerk or similar role
  • Excellent communication and interpersonal skills for effective interaction with customers and internal stakeholders
  • Strong attention to detail and accuracy
  • Excellent organizational and time management skills
  • Effective written and verbal communication skills
  • Ability to work independently as well as collaboratively within a team
