Summary of the Position:

Alcon is hiring a procurement specialist to work in the procurement Center of Excellence (COE) team.  This person will ensuring the smooth operation and optimization of Ariba Risk.

Primary function is to assist users in the risk process to process supplier risk assessments more quickly.  This role encompasses the managing and reporting of key performance indicators (KPIs), service level agreements (SLAs) as it relates to service orders, incidents, and enhancements.

Duties and Responsibilities

Under the direction of the Systems Development / COE Lead Fort Worth, this associate will:

Provide support to the risk management users including the requester / owner of the risk and the risk experts. Provide training and support as required for new and existing users. Provide regular communications to the users about system changes or enhancements. Manage support ticket queue.

Oversee the handling of service orders and incidents related to the systems.

Coordinate with internal teams and external vendors to resolve issues promptly.

Document and analyze incidents for continuous improvement.

Execute reports and provide weekly status for the number of suppliers completed and any outstanding reassessments. Execute monthly reports for open engagement requests in different status and follow with respective responsibilities. Collaborate with Internal Audit and Financial Assurance to support audit requests. Follow up on audit finding/issues and implement corrective measures.

Work with end users and risk experts on actions/queries related to supplier risk.

Communicate & work with end users and IT support staff to resolve any transactional issues on an ongoing basis.

Before/During Implementation

  • Monitor the performance of the Ariba Risk system.

  • Oversee the handling of service orders and incidents related to the systems.

  • Track and provide updates on the status of risk assessment.

  • Follow-up with internal users on actions related to risk assessment.

  • Test all applicable transactions that are enabled for the end user.

  • Prepare communications and coordinate deployment of supplier enablement.

  • Provide support to end users during the risk assessment process.

Ongoing

  • Coordinate with internal teams and external vendors to resolve issues promptly.

  • Document and analyze incidents for continuous improvement.

  • Troubleshoot integration issues and ensure data accuracy and consistency.

  • Collaborate with IT teams to enhance and maintain integration interfaces.

  • Engage end users through continued communication to drive adoption.

  • Escalate trending issue to the appropriate leaders.

  • Ensure accuracy of data and perform all duties within assigned timeline & provide status of all activities.

Qualifications

  • Knowledge in the Ariba Risk Management Process (Preferred)

  • Team player with a positive attitude

  • Experience working against goals or contractual deadlines.

  • Strong interpersonal skills

  • Excellent communication including written, verbal and listening skills.

  • Quick learner

  • Willing to resolve issues quickly through calls and screensharing.

  • Structured, analytical and organized

Education:

  • Bachelor's degree in Business Administration, Computer Science, Information Systems, or a related field.

Languages:                                                             

  • Excellent command of written and spoken English, other major languages are a plus

Experience:                                                             

  • Minimum of 3 years of experience with SAP, Ariba solutions, Egencia or Beeline.

  • Strong understanding of system performance management, SLAs, and KPIs.

  • Experience in incident management, problem-solving, and root cause analysis. Experience is ServiceNow is desirable.

  • Excellent communication, collaboration, and stakeholder management skills.

  • Ability to prioritize tasks and thrive in a dynamic environment.
