Reporting to the Accounts Payable Supervisor, this position performs accounting and clerical tasks related to the efficient maintenance and processing of accounts payable (AP) transactions, provides guidance and advice to other AP staff, and assists the Manager and Supervisor as required.
Key Responsibilities:
Review, sort, and reconcile invoices and cheque requests
Prepare batches to process invoices into Markview and Oracle on a daily basis
Prepare Accruals for Invoices report at month end and send to Supervisor
Follow up with internal clients and suppliers to resolve discrepancies between purchase orders (POs) and invoices
Troubleshoots issues within Oracle as they arise and answers general inquiries from clients and suppliers
Identify and report on non-compliance to the organizations PO policy to Supervisor, AP and encourages compliance to same
Conduct education sessions in the use of Oracle and POs with AP Supervisor
Create, maintain, run, and analyze various reports out of Oracle and make recommendations to management based on same
Perform weekly reconciliation of the sub ledger and the general ledger for Accrued Purchase Order Receiving and monthly reconciliation of general ledger accounts with payables sub-ledger.
Prepare month end reclass journal entries
Assist as needed with AP/Oracle processes leading to month end close
Respond to and provide information/documents in relation to vendor inquiries.
Assist other departments with and answers general inquiries about expense statements, the 3-way matching process, EFTs, Oracle POs and receipts
Support the AP Supervisor with different projects and activities
Provide guidance and advice to other AP staff
Participate in continuous improvement projects and initiatives including cross training
Perform other related duties as assigned
Requirements:
Post-secondary education in Accounting, Finance, Business Administration, or an accounting related program
Professional designation as Certified General Accountant or Certified Management Accountant or working towards considered an asset
Minimum of 3 years accounts payable and general accounting experience
Advanced knowledge of Excel and Oracle-based databases
Knowledge of Generally Accepted Accounting Principles including internal control and audit requirements as well as Federal and provincial legislation, regulations, practices, and guidelines
Demonstrated knowledge of best practices and continuous improvement initiatives
Capable of working in a fast paced, high volume work environment
Research, analytical, problem solving, and organizational skills to investigate, analyze, and reconcile AP accounting
Acceptable credit check
Ability to support and project values compatible with the organization
