Primary Responsibility

The position presents an exciting opportunity to join Ultra Maritime Australia during a period of significant change and growth under private equity ownership, with responsibility for maintaining project administration to deliver value-add analysis and key insights which drive optimal program performance and control for all our stakeholders.

Key responsibilities will include:

Project Administration

  • Support Program and Project Managers in Program delivery.
  • Administrative support of Project and Program artefacts aligned with set policies and procedures.
  • Planning and coordination of Program activities, outputs and tasks
  • Preparing and facilitating the delivery of Program and Project reports
  • Supporting the development and implementation of Business Policies and practices
  • Contributing to successful outcomes of programmatic assurance and governance activities
  • Project Set up in IFS.
  • Monthly invoicing, project creation and reporting in financial system.
  • Assist with Program planning and reviews.
  • Other duties as directed.

Project Reporting

  • Provide recurring & ad hoc reports to Program Managers and other stakeholders.
  • Support month-end close processes.

Financials

  • Ensuring accurate and timely invoicing of customers and assist in the resolution of any overdue invoices in a prompt manner.

Key Competency Requirements:

  • Highly competent in use of Microsoft Office products (Excel, PowerPoint, etc.)
  • Demonstrable high degree of computer literacy including familiarity with accounting and/or ERP system(s) preferably IFS.

Personal Attributes:

  • A sound understanding of program cost accounting / project accounting is desirable.
  • Self-motivated with the ability to work autonomously whilst able to motivate others around the business.
  • Good communicator who is highly analytical, with good attention to detail and able to prioritise tasks.
  • Creative and pragmatic in approach whilst being well organised and calm under pressure.
  • Prepared to multi-task and work flexibly to achieve deadlines.
  • Ability to obtain a government security clearance in country of residence.
  • Focus on process improvement opportunities for the division.
  • Demonstrates behaviours that align with and promote Ultra’s values.

Experience:

  • Experience with ERP’s and accounting standards.

Nationality Requirements


The successfully appointed candidate must be eligible to obtain and maintain a current Australian Defence Security Clearance to Negative Vetting Level 1 (NV1).
