Operations Specialist - Delavan, WI

We have an opportunity for an Operations Specialist to join our Delavan, WI team. You will be the site’s primary point of contact, ensuring a professional and secure experience for visitors and employees. The role delivers day-to-day office services and administrative support, including facilities coordination and purchasing/accounts payable assistance for cross-functional teams, and acts as a key liaison with external vendors and service providers to support smooth site operations.

You will:

  • Front desk coverage: greet and assist visitors/candidates; answer and route main-line calls; respond to basic employee questions and direct visitors/vendors.
  • Visitor security & access: coordinate check-in and employee notifications; issue/track badges; monitor BRIVO activity and escalate concerns; ensure required PPE and lobby safety supplies are available.
  • Site communications: update lobby/lunchroom monitors and information boards; send site/event communications (including monthly Win Right cards).
  • Office services: order and manage office/site supplies; maintain copiers and office equipment, including service requests and printer supplies/vendor contacts.
  • Mailroom & AP support: manage postage and mail distribution (including Pitney Bowes); route incoming checks to the correct lockbox; scan and follow up on invoices (including Esker alerts) to support Accounts Payable processing.
  • Purchasing support: create PRs/POs as directed; enter SAP ZMRO orders, confirm receipts, and route invoices; provide backup purchasing support for cross-functional teams; enter PRs for HR invoices.
  • Facilities & vendors: submit and/or enter maintenance work orders (moves, painting, furniture assembly, etc.); coordinate cleaning services; ensure conference rooms are ready; support vending services and related needs.
  • Meetings, events & training support: order catering and coordinate setup/cleanup; support onsite trainings/visits, town halls, and OSHA training attendance tracking; help load US Connect market cards for onsite events.
  • Onboarding & HR support: set up workspaces for new hires and clear spaces for separated employees; support recognition programs, service milestone communications, and return of personal items as needed.

Key Qualifications:

  • A solid contributor who can relay information or changes effectively to all levels of the organization. 
  • Intermediate to expert level proficiency in Microsoft Office (Excel, Word, PowerPoint, Notes, etc.). 
  • Excellent time management skills and ability for prioritize work. 
  • Working knowledge of office equipment. 
  • Attention to detail and problem-solving skills. 
  • Excellent written and verbal communication skills. 
  • Strong organizational skills with the ability to multi-task.
  • Physical requirements: Ability to sit for long periods of time.  There is no heavy lifting assigned to this position. 

Compensation:

The hourly pay for this role is: $28.00/hr. Opportunity for a rate increase after you are proficient in certain skills and have fulfilled training. Actual pay may vary depending on factors including but not limited to achievements, skills, and experience.
