Specific Job Summary
The IRM Project Specialist II supports departmental operations as a key member of the organization’s operational team. This role leads tactical initiatives that advance department programs and contributes to the successful execution of strategic priorities across the enterprise.
Primary responsibilities include managing NATO-wide programs, overseeing cross-functional initiatives and executing assignments that impact Market Execution and Field Operations, as directed by the AVP Field Operations.
In addition, the position will periodically support revenue management tasks which may involve optimizing available room inventory for owners and rental channels, implementing inventory allocation strategies and performing other functions with the reservation systems environment.
Success in this role requires a strong understanding of business operations, department programs and processes and protocols of both MVW and Marriott. The ideal candidate excels at managing multiple projects simultaneously, collaborating effectively with diverse stakeholders, meeting deadlines and communicating clearly and professionally at all levels of the organization.

Specific Expected Contributions
Refurbishment & CapEx Inventory Displacement
· Serve as a subject matter expert supporting the MVC, WVC, SVC, and HVC brands, providing guidance and direction to leaders involved in associated operational and inventory processes.
· Coordinate closely with Field Execution teams across all regions to align inventory planning with refurbishment schedules and capital expenditure (CapEx) planning needs.
· Query, validate, and reconcile data provided by cross-functional partners to support displacement analyses and other assigned projects, ensuring accuracy prior to submission to Operations and IRM VPs.
· Ensure cross-functional partners meet IRM’s required timelines by communicating expectations, educating stakeholders, and influencing improved performance where needed.
· Follow up with Operations, Resort Refurbishment, and CapEx Planning leaders—including VPs and Project Managers—to ensure timely receipt of deliverables for assigned initiatives.
· Own the preparation, review, and on time delivery of routine communications, as well as the creation of more complex communication materials when required.
· Design, develop, and maintain organizational systems that support complex program and inventory management needs.
· Create, maintain, and enhance spreadsheet/database systems used for monitoring, recording, and storing critical information, including:
o Key data points for all NATO projects,
o Financial data for MVW and COAs, including project costs and related charge allocations,
o Status and updates for refurbishment and CapEx projects,
o Process documentation and tools used internally and by Field Execution teams.
· Partner and communicate frequently with regional IRM leaders to validate analyses, inventory planning assumptions, and displacement scenarios related to refurbishment and CapEx activities.
Program Management
· Leverage Revenue & Inventory Management (IRM) systems to support a variety of programs and initiatives, including validation of MVW financial displacement analyses and execution of detailed inventory management tasks related to refurbishment and capital expenditure (CapEx) projects.
· Serve as the IRM Subject Matter Expert on tactical and data-computational processes that support cross-functional project management activities for Senior Leaders, VPs, Project Managers, Operations, Resort Refurbishment Services, and CapEx Planning.
· Own and manage assigned processes end-to-end, ensuring accurate execution, alignment with program goals, stakeholder needs and adherence to timelines.
· Prepare and deliver routine reporting on program status, risks, and progress to leadership and cross-functional partners.
· Recommend operational enhancements and process improvements focused on increasing efficiency at a tactical (non-strategic) level.
· Develop and maintain tracking systems and tools using Microsoft Office applications; escalate the most complex or high-impact projects to leadership when appropriate.
· Lead the coordination and organization of department meetings with IRM business partners, including scheduling, securing participation from required attendees, drafting agendas, and preparing presentation materials.
Data & Analysis
· Independently determine optimal methods for data research, analysis, and computation using strong business acumen, requiring minimal guidance except on highly complex requests.
· Conduct cost analyses and project evaluations; proactively identify and clarify data inconsistencies or risks prior to executive-level presentations.
· Manage and execute recurring data-capture schedules with consistency and minimal direction from leadership (DIR/AVP).
· Oversee processes, documentation, and data organization for large, cross-functional initiatives to ensure accuracy, transparency, and stakeholder alignment.
· Design, develop, and maintain effective tracking systems to support operational efficiency and informed strategic decision-making.
· Deliver analytics and insights in a clear, concise, and actionable format tailored to audiences at all levels of the organization, including VPs and SVPs.
Operational Support & Cross-Functional Coordination
· Identify opportunities to improve or streamline tactical policies and procedures; assess requirements and potential solutions and communicate recommendations to the AVP.
· Field and triage requests from internal and external business partners, independently determining research needs, questions to investigate, and when escalation is required.
· Draft responses and recommend solutions for complex inquiries or issues, providing well-supported recommendations to the AVP.
· Maintain deep, comprehensive knowledge of associated Inventory and Revenue Management processes, as well as an in-depth understanding of MVW Resort Refurbishment Inventory practices.
· Present tactical components of assigned projects during meetings, partnering with the AVP who leads the strategic aspects.
· Maintain strong internal and external relationships to support effective collaboration and alignment across business areas.
· Validate, query, or analyze data provided by others to support displacement assessments and additional assigned projects.
Specific Candidate Profile
Education and Experience
· Bachelor’s degree in Business Admin, F&A, or related field
OR
· Two-year degree in Business Admin, F&A, or related field, and minimum of 2-years related work experience
· OR
· High school diploma or GED and minimum of 2-year MVW experience in IRM, Resort Operations, Owner Services, or F&A.
Skills/Attributes
· A minimum of intermediate proficiency in all Microsoft Suites applications.
· Proven ability to gather the required information to analyze trends and surface possible solutions.
