Customer Sales & Service Representative
Location: Gaborone

Purpose
The purpose of this role is to actively promote and sell parts, tools, and service to support customers in alignment with their needs in an efficient manner.
Key Responsibilities
EQ Dimension
- Ensure procedures are adhered to and timely processing of costs in ERP for financial reporting.
- Assist in the preparation of monthly, quarterly, and annual financial statements.
- Ensure workshop processes comply with organisation standards and regulatory requirements
- Ensure that provisions are done for any costs and are duly approved.
- Analyze and measure financial info received.
- Assist line managers with queries and information
- Data integrity
- Accuracy of information
WIP Dimension
- Work closely with site accountant, workshop manager, field service manager and other departments to gather accurate information about project progress and resource utilization
- Design and implement systems for capturing and tracking costs associated with ongoing projects, including labor, materials, and overhead
- Choose the appropriate level of detail for WIP tracking based on the organization's needs and project complexity.
- Regularly track and analyze WIP costs to identify trends, variances, and potential cost overruns.
- Perform cost-to-completion estimates to forecast project profitability and identify areas for cost control.
- Compare actual costs to budgeted costs and analyze reasons for variances.
- Develop and implement methods for allocating indirect costs, such as overhead, to individual projects based on their resource consumption.
- Ensure accurate and consistent allocation of costs to provide a clear picture of project profitability.
- Review and adjust cost allocation methods as needed to reflect changes in project scope or activity levels.
- Generate reports that provide insights into WIP costs, trends, and project performance.
- Analyze reports to identify areas for improvement in project cost management and resource allocation.
- Present reports and analyses to management and stakeholders to inform decision-making.
- Implement internal controls to ensure the accuracy and reliability of WIP data.
- Communicate effectively with stakeholders to keep them informed about project finances and risks
Invoicing Dimension
- Invoicing should be complete and timely done.
- Ensure that revenue and costs are accurately released.
- Ensure that cost and revenue are accurately charged to Profit and Loss.
- Ensure that jobs are appropriately release in accordance with set standard operating procedures / Internal controls.
- Ensure all costs are released for weekly reports and for month end reporting. Review that there is no WIP on contract jobs at month end
Job Categories Dimension
- Ensure that all jobs are accurately defined according to service process.
- Accurate posting of revenue and cost to the accounting system
- Ensure that there are accurate supplier base categories for the service reports.
- Ensure that there is efficient and effective workshop, field service tracking.
Warranty Management Dimension
- Ensure that all warrant documents are received and fully approved.
- Submits Warranty claim form on behalf of customer.
- Track warrant progress to ensure warranties are submitted within global standards.
- Ensure the warrant report the warrant report is clear and has all the information to assist the Warrant Manager to submit claim.
Reporting Dimension
- Generate reports on warranty claim trends, including types of issues, frequency, and costs.
- Analyze data to identify common problems and potential product defects.
- Investigate root causes of recurring issues and recommend corrective actions to improve product quality and reduce warranty costs.
- Communicate warranty performance metrics and insights to relevant stakeholders.
Ordering Dimension
- Processing all internal requisitions from the mine site, Khomanani workshop and Gaborone Warehouse are made to ensure timeous delivery.
Daily Processing Dimension
- Accurate and timely booking of costs.
- Follow up of pending orders, timesheets and invoicing.
- Ensure all completed jobs are released timely.
Order tracking Dimension
- Maintain an up-to-date order tracking report.
Contract Invoicing
- Ensure all contract quotations and invoices are carried out in a timely manner to meet month end obligations.
Job Opening
- Opening jobs within the correct branches, correct model code and correct categories for correct posting.
Job Closing
- Job closing and creation of invoice listing details of all charges applies to the situation when upon job completion the invoice is created listing charge details, summary or fixed price and the job is closed.
Internal Controls
- Monitoring of and compliance with internal controls as per the internal controls’ matrix.
Profile Required
- Diploma in Accounting or equivalent
- Sales experience in a mining environment is advantageous
- 3 -5 years’ customer call centre experience in a fast-paced sales environment
- Knowledge of the processes, tools, and techniques for selling goods and services over
- electronic channels
- Ability to organize, prioritize and complete multiple tasks under tight time constraints
- Ability to communicate effectively with stakeholders in writing and/or verbally
- High level of professionalism, honesty, and integrity
- Ability to analyse data and provide insights
- Computer literacy (MS Word, Excel, PowerPoint, Power BI)
- English proficiency
- Physically and medically fit to work in a mining environment
- Valid Class B driver’s licence
