POSITION SPECIFICS
Penn State Human Resources (HR) is seeking a professional, detail-oriented, and customer-focused Administrative Support Assistant (ASA)(Intermediate Support) to join our team. In this role, you will serve as the front-facing receptionist for our main HR building and provide essential administrative and operational support to the HR Shared Services Team. The ASA will work closely with the entire HR community, ensuring smooth operations by managing facilities, access, and support functions. This position is ideal for someone who thrives in a collaborative environment and is committed to delivering exceptional service.
RESPONSIBILITIES
Serve as the receptionist to the HR building
Act as Facilities Coordinator, handling maintenance requests and liaison to the building owners
Provide calendar support, schedule conference rooms, and assist with Zoom/Teams meetings
Prepare of agendas and meeting minutes
Maintain and order supplies for three supply rooms and copy machines
Coordinate new hire onboarding needs, including parking, keys and accesses
Generate, prepare, and maintain reports, files, and spreadsheets
Process PCard payments and travel expenses within SAP Concur
Participate in special projects that contribute to the effectiveness of the assigned team
Provide backup support for other Administrative Support Assistants within HR
This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.
REQUIRED QUALIFICATIONS
Ability to work independently and collaboratively in a fast-paced environment
Capacity to maintain confidentiality and exercise sound judgement and discretion
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Zoom
Willingness to learn job related software
Strong attention to detail
Excellent customer service skills
Strong organizational, verbal, and written communication skills
MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS
General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS
The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
