Administrative Assistant, Operations and AMS Support

Job Description

Summary:

The Administrative Assistant, Operations and AMS Support reports directly to the Operations and AMS Support Manager. This role provides essential support to the Operations and AMS teams by the most effective and as efficient as possible.

Essential Duties and Responsibilities:

  • Provide accurate and timely professional communication.
  • Proactively identify solutions and determine corrective measure implementation to prevent service impact.
  • Support Operations and AMS in the planning and scheduling process as well as facility capacity planning as it pertains to fleet make ready, overhauls and third-party work.
  • Create Proformas and Invoices as needed for Operations, Fleet and AMS jobs.
  • Create work orders for new sets, start up, load out and trucking.
  • Manage the cycle of the equipment return work orders, including equipment release and unload.
  • Maintain work orders for transfer, swap in and out, make ready, trucking and AMS.
  • Provide support and feedback for the developing and implementation of Operations and AMS department documentations.
  • Maintain shop schedules of all Repair and AMS shops and coordinate Capex work orders creation.
  • Support sales and operations in facility capacity planning and utilization.
  • Other duties as assigned.

Education & Certificates:

  • High school diploma or GED

Work Experience:

  • Previous experience in and administrative support role, preferable in an operations environment.

Skills & Abilities:

  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask.
  • Excellent time management skills and ability to prioritize work.
  • Attention to detail and problem solving skills.
  • Sense of urgency required.
  • Proficiency in Microsoft Office Suite

Physical Demands:

  • Must be able to sit for long periods of time.
  • Ability to work occasionally long or irregular hours.
