Job Description Summary:

The Volunteer Coordinator is responsible for coordination, supervision and training of volunteers according to need/priority in order to maintain hospital volunteer coverage. These areas include, but are not limited to; functions at the information desks and the lobbies, mail and flower distribution, surgery/ICU/OB lounges including the cleanliness and order of information desks and required computer equipment, as well as making sure related supplies are ordered and dispersed. The position also provides administrative support for the Manager of Volunteer Services as well as for the Director or Site Manager of Pastoral Care, including the scheduling of meetings, and the oversight and distribution of the hospital chaplain on-call schedule. This position also coordinates meetings and disseminates materials required for the Hospital Ethics Advisory Committee and supports communication between Marion General Hospital and the OhioHealth Mission and Ministry Department

Responsibilities And Duties:

1. Abides by HIPAA regulations, which help protect the privacy, security and confidentiality of patient health information. 2. Coordinates, schedules and assigns all service volunteers including Information Desk if applicable e according to need/priority to maintain proper flow of services. Organizes and maintains master schedule of volunteers. 3. Receives/screens visitors and telephone calls for the offices of Volunteers Services and Pastoral Care, and responds to general inquiries. 4. Develop relationships with department staff where volunteers will be assigned. 5. Assists in the training of service volunteers. 6. Reviews volunteer applications, performs reference checks, interviews volunteer applicants and schedules orientation for all new service volunteers. 7. Orders supplies within budget; sets up volunteer orientation, schedules rooms, manages catering requests. 8. Visits ill volunteers in hospital and attend funerals when appropriate. 9. Maintains/updates the volunteers database, provides reporting. Maintains all department personnel files are current and meet Joint Commission requirements. 10. Responsible for producing the Volunteer newsletter 1 1. Maintains the volunteer database and creates reports as requested. 12. Functions as the Health Stream Administrator for Volunteer Services and Pastoral Support and completes the bi-weekly payroll for Volunteer Services. 13. Prepares, updates and distributes the on-call chaplain schedule to chaplains and hospital staff. 14. Manages volunteer files and ensures they meet Joint Commission standards. 15. Maintains the clergy visitation database. 16. Maintains the log of ethics cases in the OhioHealth Ethics Case Summary System. 17. Performs various clerical and support duties for Volunteer Services and Pastoral Support, using computer software as appropriate, including: creating, updating, proofing, copying, editing, maintaining and filing of information and records, monthly reports, memos, letters, and other correspondence. Maintains records related to attendance, payroll, purchase orders, etc. Coordinates meetings, provides administrative support and assists in maintaining calendars for Manager/Director Volunteers Services and Pastoral Care. 18. Other duties as assigned.

Minimum Qualifications:

High School or GED (Required)

Additional Job Description:

Associate's Degree, or High school Diploma and previous related work Experience . Excellent Customer service skills, Friendly, outgoing personality, Professional Appearance, Computer knowledge including Microsoft Word and Excel and knowledge of (or ability to learn) volunteer database, desktop publishing, OhioHealth Ethics Case summary database and payroll software. 3 - 5 yrs. customer service Experience .
