Job Summary:
Reporting to the Assistant Vice President of Sponsorships & Events, the Events Manager will serve as a strategic and hands-on leader responsible for the planning and execution of Wellstar's most visible internal events and external community events. This includes enterprise-wide employee recognition programs, executive and leadership meetings, special system celebrations and department and service line events that reinforce Wellstar's culture, mission, vision and values.
This position will require a polished event professional who thrives in a fast-paced, high-profile environment, bringing creativity, precision, and strategic thinking in every detail. This role requires strong collaboration across all levels of the organization, including executive leadership to deliver meaningful and memorable experiences across the health system.
Core Responsibilities and Essential Functions:
Key Responsibilities
*Lead the planning, development and execution of major internal and external Wellstar events including: System-wide employee recognition programs and celebrations. Executive and leadership retreats, conferences and summit meetings. Internal culture-building and appreciation events. Special events such as milestone celebrations, ribbon cutting, system announcements and community sponsorships.
*Partner closely with executive leadership and internal stakeholder teams to ensure events align with organizational priorities and reflect Wellstar's mission, vision and values.
*Oversee all aspects of event logistics, including venue selection, production, catering, design, and technical coordination.
* Manage project plans, budgets and timelines from concept through execution ensuring events are delivered on time and within scope.
*Collaborate cross-functionally with departments across the system to ensure strategic goals are aligned and expectations are clear.
*Direct on-site event operations ensuring seamless execution of and an exceptional experience for attendees, leaders, speakers, vendors, staff and special guests.
*Engage and manage vendors, venues, and production partners maintaining high-quality standards and adherence to budget.
*Develop post-event meetings and evaluations to gather feedback to measure success and opportunities for improvement.
* Produce reports, presentations and relevant supporting documents outlining event strategy, measures of success, and identification of future opportunities.
*Stay current on event trends and best practices to enhance creativity, efficiency, and innovation for Wellstar events.
* Oversee events supplies and brand materials are in working order and Wellstar has necessary inventory readily available on hand.
*Enter, track and update project tasks in the Wrike project management tool.
* Contribute to the maintenance and assignment of fleet vehicles for approved drivers.
Financial Management
* Assist AVP with the development of the annual operating and capital budgets.
* Track budget spending and ensure events stay within budget.
* Ensure all invoices are received, processed and paid in a timely manner.
* Produce financial reports as needed.
Human Resource Management
* Contribute to monthly staff scheduling to ensure adequate event coverage and support.
* Support planning team meetings and provide communications on important department updates.
* Contribute to performance evaluations and address performance issues.
* Support onboarding and training of new team members.
Legal and Compliance
* Manage contracts that comply within Wellstar legal and business policies.
* Maintain high-standards and hold vendors accountable for contract agreements.
* Keep up to date and accurate records of all contracts and track agreement renewals and deliverables.
* Maintain confidentiality.
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education:
- Bachelors Business Administration/Management or Bachelors Marketing or Bachelors Mass Communication or Bachelors Hospitality or Bachelors Other or Masters Other-Preferred
Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.
- GADL - Georgia Driver's License
Additional License(s) and Certification(s):
Certified Meeting Professional (CMP) or related credential. Preferred
Required Minimum Experience:
Minimum 8 years of years of progressive experience in event management, preferably within a large corporate, healthcare, or nonprofit organization. Required
Required Minimum Skills:
Proven success managing executive-level and large-scale events (500+) with complex logistics and high visibility.
Strong project management, budget oversight, and vendor negotiation skills.
Exceptional attention to detail, creativity, and commitment to delivering polished, high-quality experiences.
Excellent communication and interpersonal skills with the ability to work confidently with senior leaders.
Adept at managing multiple priorities in a dynamic, fast-paced environment.
Proficiency with Microsoft Office Suite, project management tools and event planning and invitation software.
Ability to work flexible hours, including evenings or weekends, and travel as needed.
