Job Description Summary:

Provide administrative support for research and training projects within the Division of Developmental and Behavioral Sciences (DBBD) in the Department of Pediatrics. Will work closely with the division director, principal investigators, and associated faculty, with the majority of the activities currently supporting the Leadership in Education and Related Developmental Disabilities (LEND) program. Coordinate training and research activities through scheduling meetings, coordinating with community partners or agencies, and collaborating with investigators to monitor project goals and objectives, including data management and reporting. Will aid in other aspects of research administration, including assistance with submission of progress reports, preparation of manuscripts for publication, and support for research registry and database. Will also include administrative support needed to execute project objectives and training activities (ordering and managing resources and materials, room reservations, etc.).

Job Description:

Key Roles and Responsibilities:

  • Responsible for managing the annual DDBS fall conference, completing administrative tasks with others.

  • Serve as the leader on the full DDBS SOM website upgrade.

  • Responsible for helping to create service innovation to better meet the needs of providers, patients, and families – videos, groups, etc.

  • Improve support of parents referred to DDBS – handouts, online resources, parents coaching parents, etc.

  • Supports research and training projects and related investigators and faculty, with an emphasis on designated projects.

  • Assists LEND Training Director and Training Coordinator with the trainee recruitment process by distributing and tracking trainee applicant materials and scheduling interviews.

  • Assists with data entry (short term trainee registration forms, projects, and activities, etc.) into the National Information and Reporting System (NIRS) database. Data extraction and summary for progress reports to funding agency.

  • Collaborate with principal investigators to monitor project goals and objectives, including due dates for benchmarks and reports.

  •  Support training and technical assistance activities on-site and within the community.

  • Assists in preparation of manuscripts, grant proposals, or presentations for professional/scientific meetings by formatting references, graphics, proofreading, etc.

  • Inventories, monitors, and tracks project resources including electronic devices, computer programs and training materials. Coordinates committee meetings which may include calendar management, room scheduling and setup, agenda preparation and minute dissemination.

  • Assists grant specialist with on-boarding project staff and trainees.

  • Support CCHD registry and research database activities, including consent, data entry and validation, utilizing Redcap for data capture and analysis, and other related tasks.

Required Qualifications

Education: Bachelor’s degree in business, communications, or related field. Relevant experience may substitute on a year for year basis.

Work Experience:

  • Three years administrative experience in a university or office setting.

  • Possess ability to demonstrate initiative in completing projects in an accurate and timely fashion with minimal supervision.

  • Must be proficient in Microsoft Office Word and Outlook.

  • Excellent organizational, interpersonal, and multi-tasking skills and strong oral and written communication skills. 

  • Ability to work in a multidisciplinary team setting.

  • High degree of initiative, ability to prioritize and demonstrated ability to handle confidential information in a professional manner.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
