Job Summary

The Volunteer Services Assistant participates in the on-boarding of new volunteers, maintenance of volunteer records, inquires, and volunteer placement. Helps with data management and tracking, department communications, and reporting. Connects and orients volunteers to their volunteer assignment. Manages specific volunteer programs as assigned.

Responsibilities and Functions

  • Delivers excellent customer service when greeting volunteer applicants, visitors, answering phone calls, replying to emails, etc.  10%

  • Acts as a liaison for and establishes rapport with volunteers. Ensures they have necessary supplies and effectively interacts with them on an ongoing basis 20%

  • Acts as project manager for volunteer programs as assigned; problem solves regarding placement issues 15%

  • Maintains volunteer files and enters information into the volunteer management database, assists with database management 15%

  • Assists with inventory and ordering supplies and forms 15%

  • Organizes and maintains work area for function and cleanliness 10%

  • Communicates effectively with patients and the healthcare team 10%

  • Other duties as assigned   5%

  • Education: Bachelor’s Degree Preferred

  • Associate’s Degree or 2-3 years relevant experience required. 

  • Certification: N/A

Knowledge, Skills and Abilities (KSAs)

  • Proficient in Microsoft Office, Volunteer and/or Human Resources software, experience with copy machines (scanning, copying and FAX)

  • Good use of written and spoken English language and telephone etiquette.

Environment

Light to moderate physical effort is required. Require frequent periods of standing, walking, kneeling, and bending.  Requires occasional lifting of lightweight objects.  Employees must ask for help in the rare lifting of heavy weight materials.
