Job Overview
Under general direction of the Planning Vice President, the Planning Project Coordinator provides project coordination, planning support, and documentation management for the Planning Department. This role supports departmental leadership by preparing executive-level briefings, maintaining standardized filing systems, coordinating Planning dashboards, and assisting with project-related meetings and communications.
What you will be doing:
- Coordinates planning tasks, timelines, schedules, and follow-up actions for programs including ICP, Planning Schedules, and the Assessment Management Program.
- Attends project meetings as needed to gather information, track action items, prepare summaries, and assist with development of associated project briefings.
- Prepares structured meeting minutes capturing decisions, risks, follow‑ups, and project impacts for leadership review.
- Develops and formats high‑quality PowerPoint presentations for staff meetings, executive briefings, and Board communications.
- Compiles and organizes project data for reports, presentations, and narrative briefings.
- Maintains consistency in messaging, visual standards, and documentation across planning deliverables.
- Establishes and maintains standardized filing systems and folder protocols for Planning Department projects.
- Ensures project documentation—including change logs, trackers, dashboards, presentations, and correspondence—is version-controlled and accessible to relevant stakeholders. Monitors progress against schedules, documenting updates, and coordinating day-to-day project-related activities with Planning staff and other departments to ensure alignment and timely delivery of work products.
- Reviews internal workflows and recommends process improvements related to scheduling, tracking, reporting, dashboards or document control. Assists with special projects and departmental initiatives by gathering data and preparing summaries.
- Other related duties as assigned.
What you need:
- High school diploma or equivalent.
- Three (3) plus years of progressively responsible experience in project coordination, planning support, document control, or administrative roles supporting complex programs.
• Any equivalent combination of education and/or experience may be substituted.
Required Knowledge, skills and abilities:
- Knowledge of project coordination practices including schedule tracking, documentation, and file management.
- Strong proficiency in Microsoft Office Suite including PowerPoint, Excel, Word, and Outlook.
- Ability to compose clear meeting notes, briefings, and non‑routine correspondence.
- Ability to manage multiple priorities in a fast‑paced environment and handle sensitive information.
- Ability to collaborate across departments and coordinate project activities.
Skill in analyzing basic data trends and recommending improvements to documentation processes.
Special Requirements:
- Must obtain a Security Identification Display Area (SIDA) Airport Identification/Access Badge within 30 days and maintain qualification upon renewal.
What we desire:
- Bachelor’s degree in planning, Public Administration, Business, Project Management, or related field.
- Project Management certification.
- Experience supporting planning, engineering, construction management, transportation, or capital programs.
