Position Summary
Chord Energy is seeking a highly organized and detail-oriented Mail Services Coordinator to manage all mailroom, shipping, and office support services. This role is responsible for ensuring the efficient, accurate, and secure handling of company correspondence and packages, while also supporting copier operations, office moves, inventory management, facility inspections, and meeting logistics. The position requires strong organizational skills, attention to detail, and the ability to collaborate effectively with internal teams and external vendors.
Essential Job Functions
Mail and Shipping Services
- Manage all mail and shipping accounts, including courier services, FedEx, UPS, and USPS.
- Maintain and fund USPS postage meters and Certified Mail accounts.
- Receive, sort, and distribute all incoming mail and packages in a timely and
accurate manner.
- Handle sensitive and time-critical correspondence, including tax documents, joint interest well obligations or elections, owner relations, and land-related mail.
- Collect, prepare, and process all outgoing mail, including overnight and priority shipments.
Copier and Plotter Operations
- Coordinate service requests, maintenance, and repairs for copiers and plotters.
- Manage ordering, stocking, and replacement of toner and paper supplies.
- Ensure plotters are consistently supplied with appropriate materials to support business operations.
Office Moves and Transitions
- Assist in planning and executing office moves, including packing, boxing, and transferring contents.
- Coordinate with vendors and movers for transport to and from off-site storage locations.
- Support move logistics through tracking, checklists, and task coordination.
Employee Termination Support
- Partner with Human Resources to support employee offboarding activities.
- Pack, inventory, and ship employee belongings as required.
- Remove nameplates and reset offices to prepare workspaces for reassignment.
Facility Maintenance and Inspections
- Conduct routine walkthroughs of office floors to identify maintenance needs.
- Monitor and report issues such as lighting outages, carpet damage, and wall repairs.
- Coordinate installation of office fixtures, including whiteboards and related equipment.
Supplies and Inventory Management
- Receive, distribute, and stock large office supply deliveries.
- Maintain inventory levels and place orders as needed.
- Oversee coffee bar supplies and assist with restocking and organization.
Meetings and Special Events Support
- Support Executive Assistants and leadership with meeting setup and catering coordination.
- Assist with setup and teardown for meetings, training sessions, and special events.

Minimum Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 2+ years of experience in mailroom, facilities, or office services support.
- Experience working with shipping carriers such as FedEx, UPS, and USPS.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- High attention to detail and accuracy in handling sensitive documents.
- Ability to communicate effectively with internal teams and external vendors.
- Proficiency in Microsoft Office (Outlook, Excel, Word).
- Ability to work independently and in a fast-paced environment.
- Ability to lift and move packages and supplies as needed.

Preferred Qualifications
- Experience in a corporate office or oil & gas environment.
- Familiarity with postage systems, shipping software, or facilities ticketing systems.
- Experience supporting office moves, events, or workplace services operations.
