Compensation

Hourly base pay rate is $18.17 - $27.31/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Cox Fleet, the largest independent fleet maintenance company in the country, is currently hiring a Payroll Coordinator. As a Payroll Coordinator supports accurate and timely payroll processing for assigned employee groups or business

segments. This role gains familiarity with company payroll concepts, practices, and methodologies while performing

standard payroll activities with close guidance. The Payroll Coordinator is responsible for data entry, invoice

reconciliation, and record maintenance. The role also assists with special projects, collaborates with cross-functional

partners, and ensures compliance with company policies and legal requirements.


Duties & Responsibilities:

  • Gain working knowledge of company payroll concepts, systems, and procedures.
  • Manually review daily invoices for accuracy, including piece rates and flagged hours.
  • Reconcile hours worked against original invoices; research and resolve discrepancies.
  • Prepare and process payroll in accordance with established process and deadlines.
  • Learn and comply with all company and legal payroll standards and regulations.
  • Accurately enter, update, and maintain data across company systems.
  • Review data for completeness, accuracy, and alignment with payroll documentation.
  • Research and correct data inconsistencies to maintain record integrity.
  • Organize, maintain, and update payroll files to ensure accessibility and compliance.
  • Assist in preparing reconciliations and supporting materials for audits or compliance reviews.
  • Participate in special projects including data entry, unit setup, and process documentation.
  • Assist in problem-solving and troubleshooting project-related data challenges.
  • Collaborate with peers and cross-functional departments to ensure accurate project deliverables.
  • Identify opportunities to improve processes, reduce errors, and enhance overall efficiency.
     

Requirements

  • High School Diploma/GED Required
  • Basic understanding of payroll or general office processes with the ability to build knowledge over time.
  • Strong attention to detail and accuracy in data entry and transactional work.
  • Ability to follow established procedures and work within defined guidelines.
  • Strong organizational skills and the ability to maintain accurate, up-to-date records.
  • Basic analytical and problem-solving skills used to research discrepancies and verify data.
  • Good communication skills for responding to inquiries and working with internal teams.
  • Comfort working with systems, spreadsheets, and standard office software; ability to learn new systems quickly.
  • Ability to manage sensitive information with confidentiality and professionalism.

Benefits

Employees are eligible to receive a minimum of 6.67 hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
