Position Details

Tilson’s legal team’s job is to mitigate risk while maintaining the operational velocity that is core to Tilson’s culture and its success.  We aim to be a tech-enabled, process-driven, and solution-oriented partner to Tilson’s business teams while holding ourselves accountable for carrying Tilson’s workplace culture and working at their pace to get the job done. Our team includes a variety of legal professionals, including a maturing Legal Operations team.

This role manages professional licensing, entity, and client compliance and requires a keen eye for detail and clean work products, a high level of emotional intelligence and interpersonal savvy, and the ability to prioritize and shift focus quickly when needed. It is ideal for those looking to develop within an in-house Legal Operations department and are invigorated by the idea of building solutions that strike a balance between relationship-building and considerate process.

This list of responsibilities reflects Tilson’s anticipated legal needs over the next six to eight months but given the high-velocity pace of Tilson’s growth and technological change in the industries Tilson serves, it is almost certain to look different six months from now.

Responsibilities:

  • Execute and track renewals of all existing state-level firm licensure for General Contracting, Electrical Contracting, and Professional Engineering.  
  • Complete regular audits of state-level licensure to ensure license classifications meet the needs of current and upcoming projects.
  • Facilitate the requirements for and bring to completion new state-level licensure as needed.
  • Provide proper state-level documentation to team members working on jurisdictional level registrations and licensure, including professional licenses, key company and officer data and documentation, and certificates of good standing.
  • Partner with Tilson’s training team to ensure GC, EC, and PE qualifier continuing education requirements are completed.
  • Provide support for business stakeholders who inquire about existing or future licensure at the state level and maintain systems of record.
  • Work with Tilson’s third party entity management provider to ensure all Secretary of State annual filing requirements are met and Tilson’s entity status is in good standing.
  • Manage compliance with client portals, tracking and meeting deadlines and timelines and following up on deliverables with other internal operational stakeholders.
  • Report up status, work in progress, and other key data or deliverables to Director when requested.
  • Communicate appropriately and effectively with a broad range of stakeholders, both internal and external.
  • Other duties assigned.

Qualifications:

  • Excellent planning, prioritization, and organizational skills
  • Strong critical thinking and independent problem-solving skills
  • Impeccable attention to detail and pride in producing clean work product consistently
  • Paralegal or other legal or professional administrative experience
  • Notary certification or willingness to become a notary preferred
  • Savvy and friendly communication skills that demonstrate patience and composure
  • Complete comfort with office administration and new information system tools, and willingness and ability to adopt new tools.  High proficiency with Microsoft enterprise tools knowledge preferred.
  • Industry knowledge of legal technology, entity compliance, and construction compliance preferred; willingness to learn necessary
  • Ability to proactively plan to meet the needs of the business while adapting and reacting to immediate needs and balance protecting process with getting the job done.
  • Ability to support peers in an uplifting and collaborative team setting
  • Desire to be part of company culture and a drive to be a positive part of solutions
  • Local to Portland, Maine, preferred by not necessary
  • If not local, comfort with working in a remote collaborative environment, and willingness to travel to Tilson’s headquarters in Portland, Maine on occasion.

Tilson leads with integrity around pay transparency; as part of the compensation plan for this position you can expect a pay range of:

$65,000.00 - $85,000.00
