The Specification Coordinator & Proposal Developer supports Dematic’s EU Amazon Account Management and Solutions teams by developing high‑quality proposals and coordinating technical specifications for large‑scale material handling automation projects. Based in Madrid, this role ensures that Dematic’s solutions are accurately represented, fully compliant with Amazon’s technical requirements, and aligned with internal engineering capabilities.

The position requires close collaboration with Amazon Engineering, Dematic cross‑functional teams, and commercial stakeholders to deliver competitive, compliant, and compelling proposals for Amazon fulfillment, sortation, and logistics facilities across Europe.

Key Responsibilities

Proposal Development for Automation Projects

• Develop detailed, customer‑ready proposals for Dematic material handling automation solutions tailored to Amazon’s operational and technical requirements.
• Support Account Managers and Solutions teams in preparing bid packages, pricing summaries, and technical narratives for Amazon RFPs and RFQs.
• Maintain and improve proposal templates, standard content, and best‑practice libraries to streamline future submissions.

Specification Coordination & Compliance Analysis

• Review Amazon technical specifications, design criteria, and project requirements for each bid opportunity.
• Coordinate with Dematic Engineering, Solutions Development, Engineering, Installation, and Safety teams to assess:
  • Areas where Dematic meets Amazon requirements
  • Exceptions, deviations, and clarifications
  • Path‑to‑compliance strategies for partial or future alignment
• Consolidate cross‑functional feedback into clear, structured specification responses for proposal inclusion.
• Track changes in Amazon standards and ensure internal teams are aligned with evolving expectations.

Collaboration with Amazon Engineering

• Serve as a key liaison between Dematic and Amazon Engineering during the pre‑sales and bidding phases for specifications.
• Facilitate technical discussions to ensure mutual understanding of system capabilities, constraints, and design assumptions.
• Align Dematic’s proposed solutions with Amazon’s engineering expectations, operational models, and facility design guidelines for specifications.
• Support clarification rounds, Q&A cycles, and technical workshops with Amazon stakeholders.

Cross‑Functional Coordination

• Work closely with Account Management to understand commercial strategy and bid priorities.
• Partner with Engineering, Solutions, and Project Management teams to gather accurate technical content and ensure proposal feasibility.
• Collaborate with Legal, Compliance, and Safety teams to validate regulatory requirements, certifications, and risk assessments.

Quality Assurance & Process Improvement

• Conduct internal reviews of proposal content and specification responses to ensure accuracy, consistency, and compliance.
• Identify gaps in documentation, propose improvements, and help standardize processes across the EU Amazon pursuit team.
• Maintain version control and ensure all stakeholders work from the latest specifications and proposal materials.

Required Qualifications

• Bachelor’s degree in Engineering, Business, Technical Communications, or related field.
• 2–5 years of experience in proposal development, technical documentation, or engineering coordination (automation or industrial systems preferred).
• Familiarity with material handling automation, warehouse operations, or industrial engineering concepts.
• Strong analytical skills with the ability to interpret complex technical specifications.
• Excellent written communication skills and ability to synthesize technical input into clear, customer‑focused content.
• Proficiency in Microsoft Office (Excel, PowerPoint, Word); experience with proposal or documentation tools is a plus.
• Fluency in English; Spanish or other EU languages are beneficial.

Preferred Skills

• Experience working with Amazon (Vendor, Seller, or Engineering teams) or other large logistics/industrial customers.
• Understanding of EU compliance standards for industrial equipment (CE, machinery directives, safety standards).
• Ability to manage multiple bids simultaneously in a fast‑paced environment.
• Strong stakeholder management and cross‑functional communication skills.
