What this role is all about:

We are looking for a Administrative Assistant I/ Project Coordinator in Jerome, ID.  The Administrative Assistant I/ Project Coordinator provides administrative support to various departments; collecting and organizing information, accurately communicating with internal and external customers, vendors and producers as well as contributing to the smooth operation of the plant and project support to the engineering and HC departments.

  • Monday - Friday 8AM-5PM - adjusted as necessary to meet responsibilities
  • Provide assistance and collaboration to the site management team in the form of correspondence and communications.
  • Provide site coordination of meetings (on and off site), customer visits, customer and employee appreciation events or other special events including food and beverage catering (set up and take down), transportation requirements or other logistics.  May require research on special event options (activities, transportation, etc.).
  • Provide administrative support to management and supervisors including reporting, processing and reconciliations, document and presentation preparation, customer service, and other projects and duties as assigned.
  • May support manufacturing operations including, but not limited to, shipping, production and scheduling, inventories, purchasing, receiving, payables and maintenance.
  • Assist the Human Capital Department with special projects and/or events as requested.
  • Direct meetings and activities that provide fundraising support to promote the annual corporate fund-raising campaign.
  • Notarize Agropur business documents and provide notary services to co-workers as needed.
  • Work with printing vendor to meet Agropur print material needs; monitor and maintain inventories at the plant and reorder as necessary.
  • Serve as primary point of contact for postage/mailing vendor related to supplies, lease agreements and manage performance issues.
  • Serve as primary point of contact for uniform service for the plant including ordering, inventory management, cancellations, special orders and service issues.
  • May perform various reception duties including: training, greeting and directing visitors, answering phones and properly directing callers, preparing for meetings or tours, ordering various supplies and other duties as assigned.
  • May assist with the facility’s Accounts Receivable and/or Accounts Payable activities.
  • May serve as back-up to other administrative roles.
  • Attend meetings, preparing agenda and drafting minutes as directed.
  • Inventory and order supplies as directed.
  • Create PO/contracts for Agropur engineering projects.
  • Enter and maintain financial data in project budgets.
  • Route and monitor approval process for PO/contracts.
  • Send approved PO/contracts to vendors, following up to ensure they were received.
  • Process project invoices for approval and payment.
  • Produce project financial reporting as needed.
  • Develop CNDAs as appropriate.
  • Create and distribute daily/weekly project reports.
  • Maintain ownership and control of project records.

What you need:

  • High School Diploma or equivalent required.
  • Associate’s Degree in Accounting, Finance or Business Administration preferred.
  • Equivalent combination of education and/or experience may be considered.
  • Minimum five (5) years of experience with similar functions required.
  • Knowledge of office administration procedures and ability to operate most standard office equipment.
  • Ability to solve problems by adapting knowledge and experience, resolving in a timely manner.
  • Demonstrate attention to detail in composing, typing, and proofing materials.
  • Demonstrate excellent organizational skills, establish priorities, ability to multitask, and meet deadlines

Our Jerome, ID, plant is home to approximately 400 employees and processes approximately 7 million pounds of milk per day. This facility produces various types of cheeses, such as; mozzarella, cheddar, provolone, muenster, parmesan, romano, Monterey jack, gouda, and asiago. They also run various whey streams, such as; deproteinized whey, sweet dairy whey, GMP, permeate, instantized, and our top-rated BiPro products.
