SingleSprout is disrupting the technology recruiting industry by pairing our proprietary technology with excellent recruiters to help socially-conscious and tech-focused startups grow their teams. We have a ~30 person distributed team and are newly hiring in the Newport Beach area. We're sprouting and we need people to ensure the success of our current and growing team!

We are looking for a Recruiting Operations Executive who will wear many hats and make an impact at our small and growing organization. The main areas of focus will be helping with external interview coordination between our candidates and clients, and onboarding and training coordination. By joining us, you will gain the unique opportunity to make your mark on the fast-growing tech scene, while helping people at the same time.

This job will be in-person in our Newport Beach office. This job will be expected to work from 8:30AM-5:00PM PST Monday through Thursday in-office, and remote on Friday.

Responsibilities

  • Give the best possible experience and support to high-growth tech companies. What does that mean? Our clients count on us (and you!) to ensure that the candidate process is quick and efficient. 
  • Partner with Sales internally and connect with some of the best startups. You will be a point of contact between their hiring managers (often C-level executives) and SingleSprout (over email and sync calls). 
  • Coordinate with Recruiters and Clients to schedule interviews (currently average ~30 interviews scheduled daily between multiple platforms (Calendly, Greenhouse, Google Cal, and more)
  • Upload and download key candidate and client data to our database (Lilly) and client’s ATS (Applicant Tracking System)
  • Send pipeline reports to clients on a weekly basis to ensure candidates are moving through quickly & efficiently
  • Collaborate and troubleshoot with various internal departments to ensure that clients' hiring goals are met 
  • Manage multiple inboxes and filter quality candidate profiles for recruiters

What This Job Isn't:

  • Not a Solo Journey: While you'll have responsibilities, you're part of a team. This isn't a position for those who prefer working in isolation.
  • Not Just Admin: Beyond scheduling and data entry, you'll be a crucial bridge between candidates and clients, ensuring both have exceptional experiences.
  • Not Static: The tech industry and our clients' needs are always evolving. This role isn't for those looking for a repetitive, unchanging routine.
  • Not For the Tech-Averse: This role continuously interacts with evolving technology platforms and tools. It's not suited for someone reluctant to learn and adapt to new tech systems.

We value: 

  • 1-3 years of professional executive assistant or Recruiting Coordinating experience
  • Experience maintaining and updating a CRM or ATS (ie: Greenhouse, Lever, Ashby, etc)
  • Experience with Google Calendar and other calendar software (ie. Calendly)
  • Ability to articulate and communicate with our team internally, and our clientele externally
  • Ability to manage multiple projects at once, while paying attention to detail
  • Ability to prioritize, organize, and take initiative
  • Proactive and creative thinking
  • Passion for technology startups
  • Strong problem-solving skills 
  • B.A./B.S. from a competitive 4-year university or equivalent experience
  • High moral compass

Compensation: $75,000-$85,000 annually
