GENERAL PURPOSE AND SCOPE OF THE POSITION:
This position is responsible for supporting the development, maintenance, and efficient operation of student records systems, particularly focused on student planning and degree auditing. The role involves ensuring accuracy and clarity of degree requirements in the system, providing assistance and training to advisors/faculty, troubleshooting and resolving uAchieve degree audit issues, coordinating system upgrades, and encoding program updates. Additionally, the position assists the maintenance of the credit for prior learning crosswalks.

MAJOR RESPONSIBILITIES:

  • Ensure accuracy of the mapping of the uAchieve degree audit system by working with staff and faculty to ensure that requirements are accurately and clearly presented in the system.

  • Maintain a thorough knowledge of academic requirements and regulations, and provide recommendations or assistance with the curricular process as needed. 

  • Act as primary problem solver for all degree audit issues; troubleshooting all degree audit issues; testing and resolving functional and technical issues with degree audits.

  • Coordinate the testing and implementation of upgrades to the degree audit system.

  • Encoding maintenance updates to existing programs in the degree auditing system.

  • Serving as the first line of support for advisors and faculty when reviewing audit discrepancies.

  • Maintaining records of the college’s Credit for Prior Learning crosswalks.

  • Engage with faculty and curriculum committees to collect recommendations for prior learning. 

  • Provide support guidance to campuses about the credit for prior learning process.

  • Assisting Campus Registrars with exception processing.

  • Receive communications and transcripts from students interested in reverse transfer to Ivy Tech Community College.

  • Work with the Assistant Registrar and departmental faculty to determine credit equivalencies for college transfer credits.

  • Assist in the evaluate student records for completion against various associate degrees that Ivy Tech may offer for the purposes of Reverse Transfer.

  • Communicate with students throughout the reverse transfer evaluation process, including by phone, mail, and e-mail.

EDUCATION AND EXPERIENCE:

  •  Bachelor's Degree Required or

  • Previous Higher Education and Banner experience preferred

  • Strong attention to detail and excellent organizational skills.

  • Ability to handle confidential information with discretion and maintain strict confidentiality.

  • Proficient in using computer systems, databases, and record management software.

  • Familiarity with relevant laws and regulations related to record-keeping (e.g., FERPA).

  • Excellent communication and interpersonal skills.

  • Ability to work independently and as part of a team, prioritizing tasks effectively.
