Job Summary:

You are an experienced subcontracts professional who will be responsible for providing administrative and clerical support to ensure effective Subcontract Management operations. This includes the onboarding subcontractors, drafting subcontracts, work orders and amending agreements, reviewing insurance certificates, and managing records and databases. You are a problem solver and continuously look for innovative solutions that can be utilized on projects.

Essential Responsibilities

  • Assists with maintaining subcontractor and client contract databases, including uploading final, fully executed documents
  • Administers subcontractor onboarding processes and coordinates with other internal stakeholders and groups which form part of this process
  • Assists Directors and Project Managers with client contract management, execution, records management, and general formatting and editing of documents
  • Review and track subcontractor onboarding documents, including insurance documentation, and bonds, to ensure they are complete and meet the contractual requirements. Monitor their documentation to ensure that they do not expire while the subcontractor is still working on the project
  • Receives, forwards and/or files related subcontract notifications, work orders, terminations
  • Enters information into subcontracts, work orders, amending agreements, NDA’s, and leases using existing templates

Qualifications

  • 3+ years of experience working with contracts, record management and certificates of insurance
  • Experience working on large construction projects
  • Ability to manage records effectively and maintain strict confidentiality when necessary
  • Strong verbal and written communication skills, including the ability to work independently
  • Experience with all Microsoft programs, Salesforce, and Adobe Programs (i.e. Excel, SharePoint, Adobe Pro, Conga)
  • Ability to foster positive business relationships to achieve team goals and objectives
