Job Description Summary:

The Senior Human Resources Assistant supports the daily operations of the Human Resources office, serves as a resource person for the HR Assistants in HR Administration and reports to the Manager of Human Resources Administration. Prioritizes and assigns tasks to team members to achieve maximum productivity and workflow. Responsible for assisting the HR Administrative processes and in providing clerical support. Responsible for facilitating a new hire file from beginning to completion. This position is responsible for excellent customer service in engaging with customers both internal and external. The employee is subject to call back and overtime as required by the hospital.

Responsibilities

Prepares employment folders for new employees orientation attendees.
Assists new employees with completion of new hire paperwork during new employee orientation.
Responsible for new hire required paperwork on employees who are not able to attend new employee orientation.
Assists recruiters with the completion of the new employee's human resource file.
Responsible for entering all new hires' information in the Tennessee New Hire Reporting System promptly.
Responsible for entering or sending the required information to the Department of Homeland Security for all new employees from I-9's.
Responsible for the completion of the onboarding process for Contract workers before distributing ID Badge.
Responsible for the tracking and maintenance of the Contract worker list to ensure compliance with all regulatory guidelines.
Assists with the managing of the inventory of office and badge machine supplies and order as needed and works with Simplex to maintain the system.
Responsible for the Physician Extender authorization and reauthorization process including maintaining a positive and professional relationship with all clinics and employees of the physicians and/or physician groups.
Responsible for the preparation of the monthly schedule of the HR Assistants to ensure that adequate coverage is present during HR operating hours.
Responsible for directing the workflow of team members to ensure productivity and workflow.
Serves as back-up to all HR Assistants duties and assists with duties and questions as needed.
Performs related responsibilities as required or directed.

Qualifications

EDUCATION: High school diploma or equivalent required.  
LICENSURE, REGISTRATION, CERTIFICATION: N/A  
EXPERIENCE: Ability to perform office procedures as acquired through 3+ years of secretarial or related clerical experience, preferably in Human Resources.
