As the Senior Administrative Assistant, you will be responsible for providing a variety of both routine and confidential administrative tasks to support our Senior Vice President & other Senior Leaders within Human Resources.

In this position, you will be part of a busy, vibrant HR team with over 100 employees across Canada and the USA. You will be given autonomy and work with limited supervision to provide solutions within established procedures and practices to the many unique opportunities and challenges faced by our HR leaders.

Essential Responsibilities

  • Perform administrative tasks for the SVP HR such as managing calendar, arranging travel, preparing expense reports, handling invoices, coordinating mail and couriers, ordering office supplies, computer and other communication products
  • Ad-hoc calendar management & travel arrangements for the wider HR Leadership team
  • Schedule and coordinate meetings for the SVP HR including the facility, venue, and resource booking, compiling required materials, and planning catering and team engagement activities
  • Draft, edit, and prepare correspondence, reports, meeting minutes, presentations, and other documentation on behalf of the SVP HR
  • Organization of HR team building events - work with the meetings and events team as well as external vendors to prepare contracts for meeting spaces, catering, and planning team engagement  activities
  • Support effective HR budget management by reviewing reporting to ensure HR employees are coding expenses to the correct budget categories
  • Implement strategies to further reduce expenditures, including meeting logistics, cell phone usage and other HR costs
  • Communicate with management, staff, and other business contacts, acts as a resource for general HR inquiries, builds and maintains relationships with employees to help the SVP HR
  • Maintain and update various contact and distribution lists for the HR team and carry out a range of diverse and sensitive administrative and operational duties within the team

Qualifications

  • 5+ years’ experience within a Senior Administrative or Office Manager position
  • Previous experience with event logistical planning is a must-have for this position
  • Strong verbal and written communication skills, able to build rapport and connect with leaders and employees at all levels
  • Excellent organizational and planning skills; able to juggle multiple priorities in a dynamic environment.
  • Excellent attention to detail and accuracy
  • Ability to maintain the highest standards of confidentiality
  • Able to work with limited supervision – enjoys working both independently and as part of an extended team, collaborating well with others and willing to pitch in where needed
  • Takes initiative – makes suggestions on how to improve processes and “get things done”
  • In-depth knowledge of MS Office applications, including OneNote, Word, Excel, Outlook, PowerPoint, Teams, SharePoint, ImageNow, Concur, Workday
  • Ability to take initiative to liaise with other departments and/or external resources including hotels and other venues for meeting spaces and team building activities
  • Experience leading volunteers and ability to delegate logistical tasks to the volunteers who assist with larger HR events
