Experience working collaboratively with multiple stakeholders and building strong cross-functional relationships

Proficiency with customer relationship management (CRM) systems, event scheduling tools, or student information systems

Experience training, mentoring, or leading student staff or part-time employees, with the ability to foster a positive and team-oriented environment

Job Description:

The Office of Admissions at Iowa State University is seeking a Campus Visits Coordinator to help deliver an engaging and high-quality experience for prospective students and their families. Reporting to the Assistant Director of Campus Visits, this role serves as a central point of coordination for daily visit operations and guest relations at the Soults Family Visitor Center. The successful candidate will play a key role in shaping first impressions of the university by providing exceptional customer service, coordinating visit logistics, and collaborating with campus partners to ensure a seamless and welcoming experience for more than 30,000 annual visitors.

Key Responsibilities:

  • Coordinate and manage the full spectrum of campus visit programming, including check-in, welcome/greeting, tours, enrollment presentations, meals, and academic meetings
  • Facilitate campus visit scheduling and oversee all pre- and post-visit communications
  • Serve as the primary point of contact for prospective students and guests, delivering exceptional customer service in person, by phone, and via email
  • Act as the lead guest relations representative at the Soults Family Visitor Center, ensuring a positive and welcoming environment
  • Deliver enrollment presentations and campus tours, and provide guidance to prospective students and families during their visit
  • Collaborate with faculty, academic advisors, college representatives, admissions staff, student affairs, and facilities teams to coordinate daily visit experiences
  • Manage and maintain the campus visit database, including updates, programming, and data accuracy
  • Serve as the primary liaison for guest relations inquiries and communications
  • Support and execute large-scale visit programs, including open houses and admitted student events
  • Coordinate and assist with group visit programs and special visit requests
  • Assist with New Student Programs, including Orientation and Destination Iowa State
  • Stay current on university programs, policies, and procedures through regular engagement with academic and student affairs partners
  • Assist in training, scheduling, and supporting student staff, including office assistants and approximately 50 student tour guides
  • Monitor daily operations to ensure efficiency, organization, and a high level of service delivery
  • Continuously evaluate and improve visit programs, customer service practices, and recruitment strategies
