Under minimal supervision and with accuracy, performs scheduling for a series of patient appointments for numerous clinicians. Performs registration functions in the hospital information system. Supports Rehab Patient Account Specialist staff with the intake process for new referrals as necessary. Manages the phone and fax systems efficiently and demonstrates the ability to multi -task effectively in a busy office setting. Ensures excellent customer service to internal and external customers. Performs clinic duties as required according to department guidelines. Travels between the hospital's rehab clinics as part of the job.
Scheduling duties:
- Schedules patient appointments.
- Maintains Rehab scheduling system ensuring accuracy related to Therapist availability.
- Prioritizes patient scheduling based on the acuity of patient's diagnosis.
- Accurately schedules a series of follow-up appointments for multiple patients, for numerous therapists.
- Manages schedules that are responsive to patient convenience while also optimizing efficiency in line with department wide targets and goals.
- Navigates and integrates patient needs with appropriate individualized therapy options.
Registration Duties:
- Performs mini-registration when scheduling new patient evaluations by verifying patient demographic information is accurate and up-to-date in the Hospital Information System.
- Performs the complete new patient check-in process, including account activation immediately upon patient arrival.
- Obtains signatures on forms compliantly for consent to treat and to help guarantee payment.
- Obtains patient answers on MSP forms and tracks due dates, to ensure proper payer is billed.
- Collaborates with Rehab PAS staff via a teamwork approach, to identify and address any potential patient concerns regarding appointments, insurance benefits/authorization or billing.
Administrative Duties:
- Enters therapy orders in the Clinical Information System. Updates all systems appropriately with canceled, no-show and/or changed appointment information.
- Exercises critical thinking skills to provide assistance and problem solve for internal and external customers.
- Multi-tasks between scheduling, registration, reception and other office duties.
- Acts as cashier to collect insurance co-payments
Clinic Duties:
- Helps maintain clinic in a clean, orderly and safe manner according to established guidelines and policies.
- Assists therapists in changing linen after each use.
- Assists therapists in wiping down all equipment, tables and surfaces used by patients.
- Performs other duties as assigned.
Requirements:
- High school diploma or GED equivalent required.
- Excellent communication and customer service skills required.
- Excellent telephone etiquette skills required.
- Strong multi-tasking skills required.
- Experience with scheduling software required.
- Computer literate with effective keyboarding and Microsoft Office skills required.
- Knowledge of Medical terminology preferred.
- Prior patient scheduling in a physician or hospital office experience preferred.
Pay Range: $15.72 - $23.21
Employment Type: Full Time, 80 hours every 2 weeks
Requirements: High School Diploma or equivalent, previous experience with scheduling software and MS Office required, previous experience in a hospital/healthcare office and/or knowledge of medical terminology preferred
