Reporting to the COO’s Executive Assistant, the Office Operations Administrator will be “forward facing” with front office KH employees and vendors supporting the company. It is imperative that this person lives and breathes the Aloha spirit and KH core values; flexibility, agility, and forward thinking will be the key to success in this position.


 

Job Responsibilities

  • Effectively promotes company core values of “Dignity, Excellence, and Telling it like it is in a way that can be heard”
  • Assists with daily needs of front office
  • Cover front office reception
  • Partner with Plant Administrator and assist as needed
  • Assist with OnBase; create blanket purchase requisitions ensuring the necessary supporting documentation is updated and accurate. Rectify any outstanding issues as it relates to invoicing.
  • Review and monitor invoices for front office
  • Allocate FedEx bill to the appropriate departments
  • Maintain vendor relationships, primary point of contact for vendor questions and issues
  • Front office point of contact for IT, maintenance and office equipment issues
  • Maintain & inventory supply closets and storage areas and reorder items as necessary to include office supplies, coffee, etc.
  • Create, own and manage monthly birthday celebrations for the front office
  • Coordinate donations pickups
  • Manages company AmEx and submits expense reports in a timely manner
  • Supports on site meetings and conferences to include reserving and arranging room, ordering & setting up meals.
  • Assist in planning, ordering and implementing plant and front office events – holidays, meals, family day, t-shirts, etc.
  • Responsible for posting necessary communication and ensuring all communication posted is current.
  • Ensures effective communications and relationships are developed and maintained with support functions
  • Ensures compliance with all company policies and procedures (EEO, Sexual Harassment, Safety, Quality, etc.)
  • Role may require off-shift and weekend work
  • The responsibilities associated with this job will change from time to time in accordance with the Company’s business needs. More specifically, the incumbent may be required to perform additional and/or different responsibilities from those set forth above.


 

Additional Job Responsibilities

  • 3-5 years of experience in an administrative role
  • Proven track record of successfully delivering results
  • Superior time management skills; able to prioritize tasks
  • Strong and effective communication skills, both written & oral
  • Computer Proficiency (All MS Office Applications)
