About the Role

- Oversee operations to support Corporate Solutions business and Mailing, with a focus on delivering high-quality services and ensuing compliance with legislation obligations.
- Manage service providers to ensure that all tasks are completed in accordance with regulatory requirements and internal benchmarks.
- Implement process improvements to optimize team workflow and enhance overall efficiency.

Roles and Responsibilities:

Operation Monitoring

  • Oversee performance in daily operations to support the Corporate Solutions business, ensuring strict adherence to internal and external benchmarks and guidelines.
  • Optimize resource allocation to maximize effectiveness and operational efficiency.
  • Evaluate the performance and productivity of the outsourcing services and coordinate with vendor to ensure compliance with established service level.
  • Regularly evaluate service levels to guarantee that services are delivered in alignment with expectations.
  • Ensure compliance with internal controls, meticulously documenting processes in Internal Control Reports.
  • Oversee the Quality Control process, working with vendors to resolve discrepancies in digitized documentation.

Project and new process coordination

  • Collaborate with Corporate Solutions to navigate new or evolving regulatory requirements from regulatory institutions and auditors, ensuring timely vendor compliance.
  • Conduct feasibility studies for proposed system enhancements and offer strategic recommendations for improvement plans.
  • Monitor the implementation of enhancements to ensure successful execution and alignment with business objectives.
  • Collaborate with IT to define user requirements for system enhancements, facilitate UAT, and manage all aspects of business process improvement initiatives.

Process Optimization and Management of Support Services

  • Conduct comprehensive workflow analyses across teams to propose innovative alternatives, modernize business practices via digitalization, and streamline processes to elevate efficiency and service quality.
  • Drive value creation and increased efficiency by identifying and eliminating unnecessary complexities, while uncovering better ways of working.
  • Oversee the implementation stages of business process improvement initiatives, ensuring effective execution.

Mailing Services

  • Act as an alternate manager to supervise the mailing team, ensuring operations meet benchmarks and customer satisfaction in a cost-effective manner.

Other Responsibilities

  • Review and revise standard operating procedures, providing actionable recommendations to enhance operational efficiency and customer experience.
  • Consolidate and analyze data from various sources to produce comprehensive management reports.
  • Undertake additional responsibilities as assigned by the supervisor to ensure compliance with company standards, guidelines, and requirements.
  • Collaborate closely with the Finance to prepare the annual budget, manage fund recharge allocations, and oversee accruals and payment requests, ensuring financial accuracy and alignment with organizational goals.
  • Provide essential support during emergencies, incidents, or crises, facilitating the activation of continuity plans to safeguard operations and maintain service delivery.
  • Serve as primary resource for the establishment and maintenance of the Business Continuity Plan (BCP) alternate site, and conduct regular business continuity drills to ensure preparedness and resilience.

Requirements

  • University graduate plus 5-6 years relevant experience
  • Minimum 3 years of management experience
  • Good command of both English and Chinese
  • Good problem solving and analytical skills
  • Good PC skills in MS office
  • You are required to obtain relevant license if your job involves in regulated activities.
