The Role and Impact: You will be the Admin & Operations Assistant reporting to the Executive Assistant & Business Operations Support (EA) within the Regional Commercial Team and supporting the team in driving the revenue growth for the S&P Global Platts business. Additionally, you will be supporting the Office Manager (OM) in her execution of her administrative duties for S&P Global Platts Singapore.

Responsibilities:
Onboarding/transfer/off boarding

  • Assist the Office Manager in the onboarding, transfer and offboarding of staff. This includes but not limited to assisting in the application of staff access card, T&E, corporate credit cards, mobile phone bills & renewal process etc.

  • Print and bind the new hire welcome kit

Lunch and Learn/Training/Townhall

  • Book all meeting rooms for sales trainings, townhalls and Lunch & Learn activities

  • Manage calendar invites and track RSVP

  • Prepare stationery items and print training materials, if any for in-house trainings

  • Order food and beverages, and prepare attendance list

  • Book and set up Virtual & video conference service and coordinate with IT team

General Administration

  • Provide daily administrative support to the office

  • Facilitate the coordination of office/department moves

  • Replenish and procure the stationery stock items including feeding the copier paper and toner, when required.

  • Arrange local and overseas courier service with service providers

  • Facilitate events and team or company activities, as required.

  • Arrange card access for visitors

  • Provide backup cover for EA/OM in absence

  • Coordinate technology for the Office and/or area assigned, including regular inventory management reviews, yearly end of life laptop replacements and arranging disposal of technology to discontinue financial charges.

  • Provide support on ad-hoc assignments or new projects assigned by the EA/OM

Requirements:

  • Diploma holder with preferably 3-5 years of Administration experience.

  • Strong English communication skills, both written & verbal. Has experience interacting, and building strong relationships, with both internal and external stakeholders, other S&P Global divisions’ Executive Assistants, Office Managers, Administrative Assistants and outside vendors.

  • Emotional intelligence, cultural sensitivity and a pleasant disposition is a must.

  • Intermediate to Expert level skills in Microsoft Office, specifically Outlook, PowerPoint, Word, Excel and good knowledge of technologies like Zoom, WebEx, Salesforce, Concur, Workday, Ariba etc.

  • A high level of integrity and confidentiality is essential, as the role deals with a significant amount of sensitive information.

  • Self-motivated and resourceful. Strong time management and organizational skills with high attention to detail. Ability to multi-task, think and act independently as well as part of a team. Consistently meets deadlines. Must have a sense of urgency and willing to run “that extra mile” attitude a plus.

  • Excellent prioritization skills while maintaining high standards

  • Team player who works well in a collaborative environment.

  • Event or conference organization would be an asset.
