Job Description​

Provides organization and secretarial support to the philanthropy department. Handles routine and complex communication and maximizes the work day through the use of effective scheduling and communication. Assists staff as needed with program development running reports and presentations. Collaborates with staff to ensure all tasks are completed in a timely and effective manner

Job Responsibilities

Manage calendar for Foundation leadership team

Make restaurant reservations for executive and donor meetings

Prepare, reconcile, and submit Expense Reports

Manage and coordinate staff meetings, staff events, staff lunches

Manage Board meeting communication, room reservation, refreshments, set up, take meeting minutes, manage BoardEffect

Maintain conference room – AV, room scheduling, refreshments, etc.

Facilitate DocuSign for contracts, Purchase Orders, gift agreements, etc.

Maintain office supplies (copy paper, pens, letterhead, envelopes, etc.)

Compose and review PowerPoint presentations

Print and mail confidential donor letters

Maintain org chart

Assist staff with various tasks (printing labels, stuffing envelopes, loading vehicles, mailing FedEx, etc.)

Submit E-requests for staff (new hire set up, office equipment malfunctions, restroom needs, etc.)

Greet guests, answer main phone line, keep areas stocked and presentable
