Events & Convention

Key Responsibilities

Event Management & Marketing (50%)

  • Plan and execute Tied Distribution (TD) events, including recognition events, meetings, seminars, and incentive trips, to motivate and reward agents.
  • Ensure events are successfully delivered to drive strong attendance and encourage recurring annual qualification where applicable.
  • Provide marketing support for TD campaigns, challenges, and initiatives by ensuring timely development and distribution of sales and marketing collateral.
  • Coordinate with in-house designers to develop eDMs and promotional materials while optimizing cost efficiency.
  • Leverage digital tools and platforms (e.g., SharePoint, iKNOW site) to enhance event promotion and engagement.
  • Support large-scale events such as Annual Agency Awards, Recognition Microsites, studio photo shoots, and video productions.
  • Assist with ad-hoc events and initiatives as required.

Vendor & Stakeholder Management (40%)

  • Manage pre-event administrative processes, including TPM, and coordination with internal stakeholders such as technology, compliance, risk, procurement, and legal teams.
  • Source, evaluate, and appoint external vendors (e.g., event companies, production houses, photographers, videographers, creative agencies).
  • Oversee event logistics including setup, audiovisual requirements, insurance, and banquet arrangements.
  • Ensure vendors meet agreed standards, timelines, and deliverables, including managing quotations and tender processes where necessary.

Budgeting & Administrative Support (10%)

  • Raise purchase orders and process goods receipt in Ariba.
  • Track, manage, and reconcile event budgets to ensure costs remain within approved limits.
  • Compile, review, and close event financials, including follow-up on credit/debit notes and submission of non-cash incentives to Finance.

Requirements

  • Education: Diploma, Degree, or equivalent qualification
  • Experience: 2–3 years of experience in marketing, event planning, or social media marketing
  • Proficient in Microsoft Office (word, powerpoint)
  • Advanced Excel (e.g., VLOOKUP, mail merge, event registration tracking)
  • Familiarity with SharePoint and basic video production is an advantage
  • Detail-oriented, proactive, and resourceful with strong problem-solving skills
  • Strong team player with the ability to collaborate effectively
  • Ability to manage multiple tasks and stakeholders in a fast-paced environment
