The ASU School of Public Affairs is seeking an experienced, motivated, and dependable Administrative Specialist to support day-to-day operations. This position performs internal event planning, school leadership calendar management, front desk support, and various administrative services that require initiative and judgment as well as the ability to work independently under general direction.
This position is a full-time, in-person position based at ASU’s Downtown Phoenix campus, Monday through Friday, 8AM to 5PM. This position reports to the Assistant to the Director of the School of Public Affairs.
Position Salary Range:
$45,000-$50,000 annually
Essential Duties:
EVENT PLANNING
Plan, organize, and execute departmental events such as faculty retreats, awards ceremony, luncheons, and other special events.
Reserve space, arrange catering, secure parking.
Create registration processes and develop announcements.
Prepare event space as needed.
ADMINISTRATIVE SUPPORT
Manage committee and leadership calendars; coordinate and arrange to ensure optimal use of time.
Provide financial support involving purchasing, expense tracking, and reimbursements.
Prepare event space as needed.
CUSTOMER SERVICE
Support day-to-day operations of the welcome desk and general office, performing customer service and support to students, faculty, staff, and the general public.
Provide information about the programs and events of the School of Public Affairs; coordinate with staff and faculty as needed.
Monitor and respond promptly to emails, phone calls, and in-person and system inquiries; find solutions to issues.
OTHER

Perform additional duties as assigned in support of the school’s operations.

Demonstrated knowledge of standard office and administrative practices.
Demonstrated knowledge of higher education policies and procedures.
Experience with coordinating and organizing events.
Evidence of effective communication skills, both verbal and written.
Evidence of effective problem-solving skills.
Experience in using organizational skills and being detail oriented
Experience with Microsoft Office applications (Word, PowerPoint, Excel, Outlook), Google Workspace suite (Docs, Sheets, Drive, Forms), Salesforce, Workday.
Skill in tact and diplomacy and in maintaining effective working relationships.
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. Regular use of standard office equipment including ,but not limited to: computer workstation/laptop(keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
