Role Summary
The Administrative Assistant will provide dedicated support to the Vice President and leadership team within Cat Digital. This team drives Caterpillar’s digital strategy, leading projects that focus on connectivity, data analytics, and innovative digital platforms to enhance customer productivity and operational efficiency.
In this role, you will play a crucial part in supporting high-level executives and ensuring the smooth operation of the organization. Responsibilities include managing complex calendars, coordinating global meetings and travel, preparing presentations and documentation, and facilitating collaboration across global stakeholders. While this is a dynamic, forward-thinking digital team, the core of the role remains administrative support, requiring strong organizational skills, proactive coordination, and the ability to keep leadership and the team on track.
What You Will Do
C-Suite Collaboration: Work closely with senior executives, providing indispensable support. Understand priorities, anticipate needs, and proactively address challenges.
Calendar Management: Organize and maintain complex calendars, balancing meetings, appointments, and travel arrangements. Prioritize conflicting demands effectively.
Communication: Handle internal communications on behalf of the executive, including announcements, publications, and stakeholder updates, ensuring professionalism and timely responses.
Meeting Preparation: Research topics, create agendas, collate materials, and prepare presentations. Support all-employee meetings and leadership sessions.
External Liaison: Interact with partners, stakeholders, and internal teams, including support for purchasing activities. Represent the executive’s office professionally and build strong relationships.
Large-Scale Events: Assist in planning and executing major events such as conferences, board meetings, and team gatherings, ensuring seamless logistics.
Travel Arrangements: Manage travel bookings and accommodations, providing end-to-end support for executive travel.
Innovation & Automation: Explore and leverage AI tools (e.g., Copilot) and other digital solutions to automate tasks and improve workflows. Bring fresh ideas to challenge the status quo and enhance efficiency.
What We’re Looking For
Proven experience as an Administrative Assistant supporting senior leadership.
Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
Open-minded and curious about digital trends, eager to learn and apply new tools.
Excellent communication skills in English and French.
Team player with a proactive mindset and ability to work independently.
Familiarity with digital tools and automation platforms is a plus.

Additional Information

Limited travel required
