Role Summary:
The role leads planning and execution of meetings and events across Client India locations. This role partners closely with APAC Events leadership, GPS country leads, and cross‑functional teams to deliver high‑quality, scalable event experiences. This role provides regional ownership for event delivery, guides coordinators, manages complex stakeholders and vendors, and ensures operational excellence, reporting accuracy, and continuous improvement.
Key Responsibilities:
Event Planning & Execution
Lead end‑to‑end planning and execution of meetings and events across India locations.
Serve as the primary point of contact for India event planning and execution inquiries.
Partner with country leads to ensure execution readiness, vendor alignment, and on‑site delivery.
Lead planning, operational, and cross‑functional meetings to support event volume and complexity.
Oversee event budgets, estimates, and actuals; ensure alignment with approved funding. Event Operations & Governance
Provide oversight of event intakes, event orders, and post‑event records to ensure accuracy and completeness.
Ensure consistent use of Client event tools, trackers, and reporting standards.
Identify risks, gaps, or dependencies and proactively drive resolution.
Maintain documentation, reporting, and operational discipline across all events. Stakeholder & Vendor Management
Partner with cross‑functional teams (Legal, Facilities, IT/AV, Finance, Security, Procurement).
Lead vendor strategy, selection, and performance management for India events.
Guide contracting, onboarding, and compliance processes in partnership with Procurement and Finance.
Manage escalations related to vendor delivery, budget, or execution issues. Event Communications & Reporting
Oversee development of event communications, presentations, and reporting materials.
Support leadership updates, post‑event reports, and insights that inform future planning. •
Ensure event communications align with Client's tone and standards in local context. Team Support & Leadership
Mentor and support Event Coordinator; provide day‑to‑day guidance and escalation support.
Contribute to onboarding, training, and continuous development of the events team.
Maintain and evolve playbooks, SOPs, and regional guidelines to improve consistency and scalability.
Qualifications Required
Bachelor’s degree or equivalent relevant experience.
5+ years of experience in event planning, management, or delivery.
Proven ability to manage complex events in fast‑paced, matrixed environments.
Strong stakeholder management, communication, and problem‑solving skills.
Experience managing budgets, vendors, and cross‑functional dependencies.
High level of cross‑cultural awareness and collaboration.
