THE ROLE: Xylem is seeking a Planning Support Specialist to support the Production Planning team by owning a defined set of administrative and coordination activities that are essential to daily manufacturing operations. This role focuses on essential planning support, including gathering, organizing, preparing, and distributing production paperwork to the shop floor. In addition, the Planning Support Specialist will assist with documenting and organizing standard work to help improve consistency and efficiency across the planning function. This is an entry‑level, hourly position well-suited for someone interested in supply chain, manufacturing, or operations who is looking to gain hands‑on experience and grow their skill set over time.

CORE RESPONSIBILITIES:  To perform the job successfully, an individual must be able to perform each essential duty satisfactorily.   

Planning & Paperwork Support

  • Print, gather, assemble, and prepare production paperwork and job packets required for shop floor execution
  • Sort, organize, and distribute production documents to the appropriate manufacturing areas
  • Ensure paperwork is accurate, complete, and delivered on time to support daily production activities
  • Maintain organized physical and digital files for planning and production documentation

Shop Floor Coordination

  • Serve as a point of contact between the Planning team and the shop floor for paperwork‑related needs
  • Deliver and retrieve documents from manufacturing areas as required
  • Communicate missing, unclear, or inconsistent information to planners for resolution

Standard Work & Process Support

  • Support planners in documenting standard work for recurring day‑to‑day planning activities
  • Help organize planning procedures, task lists, and reference materials into a clear, usable structure
  • Maintain and update planning documentation as processes change
  • Assist with efforts to standardize planning workflows and improve consistency

General Planning Team Support

  • Provide coverage support for planners during vacations or absences, as appropriate
  • Assist with data gathering, system updates, reporting, or ad‑hoc tasks under planner guidance
  • Support additional planning‑related work or projects as business needs evolve
  • Participate in continuous improvement activities focused on reducing non‑value‑added work

QUALIFICATIONS:

  • Bachelor’s / associate’s degree in supply chain, Business, Operations, Engineering, or a related field
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and meet daily deadlines
  • Willingness to take on a variety of tasks, including work that may not be clearly defined
  • Comfortable working in both office and manufacturing floor environments
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
