DESCRIPTION:

The Project Coordination Specialist is responsible for the end-to-end coordination of complex instrument installation and qualification projects. The role acts as the central interface between customers, suppliers, and engineering teams to ensure timely, compliant, and successful execution of installations. This position requires strong technical expertise in laboratory instruments, advanced project coordination skills, and the ability to manage multiple stakeholders while ensuring readiness for Go/No-Go decisions and operational handover.


REQUIREMENTS:

• Senior-level experience in instrumentation, laboratory systems, or capital equipment environments

• Strong background in engineering coordination, installation, and qualification activities (IQ/OQ)
• Proven experience managing complex, multi-stakeholder projects involving customers and external suppliers

• Strong organizational and planning skills with the ability to manage multiple parallel activities
• Excellent communication and coordination skills in a matrix environment
• Ability to independently drive execution while aligning cross-functional teams

• Solid understanding of regulated environments and quality documentation processes
• Proficiency in standard office tools (Word, Excel); project tracking tools an advantage
• Fluent English; additional languages considered an advantage
• Willingness to travel as required: minimal requirement below 10%

Your Responsibilities:
• Act as the primary project coordination lead for complex instrument installations, serving as the main point of contact for customers, suppliers, and internal teams
• Support sales and customer on technical products and services assessment
• Coordinate engineering resource booking, planning, and tracking to ensure installation milestones are met
• Prepare, coordinate, and manage IQ/OQ documentation, including draft creation, review, and approval with suppliers and customers
• Manage software questionnaires, ensuring completion, review, and customer approval prior to installation
• Track and coordinate engineering permits, site access requirements, and safety prerequisites
• Define and validate consumables and chemical kits required for installation, qualification, and start-up

• Organize and lead Go / No-Go meetings with customer and Suppliers to assess installation readiness and alignment across all stakeholders

• Ensure clear communication and alignment through regular project meetings, status updates, and follow-ups

• Monitor project progress, risks, and dependencies, escalating issues proactively when required
• Ensure compliance with internal quality, safety, and customer requirements throughout the project lifecycle
• Support continuous improvement by capturing lessons learned and feeding back into installation and qualification processes
