About the Role
We are seeking a highly organized and analytical Preventive Maintenance & Operations Analyst to oversee and support daily facility operations, ensuring the reliability of equipment and operational readiness across the business. This role combines preventive maintenance coordination, vendor management, data analytics, and stakeholder communication to drive continuous improvement and deliver actionable business insights.
The ideal candidate will be comfortable working with operational data, creating compelling visual reports, managing maintenance programs, and collaborating with cross-functional teams to enhance service performance and client satisfaction.
Key Responsibilities
Preventive Maintenance & Operations Management
- Oversee daily operations and ensure preventive maintenance activities are executed according to established schedules and service scope.
- Coordinate and manage vendors and technicians to ensure timely completion of maintenance activities and deliverables.
- Develop and maintain operational guides, maintenance procedures, and documentation.
- Monitor facility equipment performance to ensure maximum reliability and operational readiness.
Incident Analysis & Continuous Improvement
- Review and analyze incident data to identify recurring issues, root causes, and opportunities for operational improvement.
- Track and evaluate maintenance performance metrics, failure rates, and service trends.
- Develop actionable recommendations aimed at reducing incidents and strengthening preventive maintenance strategies.
Data Analytics & Visualization
- Analyze operational and maintenance data to identify trends and business insights.
- Create clear and impactful dashboards, reports, and visualizations that enable stakeholders to understand performance and opportunities for improvement.
- Design, develop, and own key performance indicators (KPIs) that measure operational success and client satisfaction.
Reporting & Stakeholder Engagement
- Develop narrative-driven reports that transform complex data into meaningful business stories and recommendations.
- Present findings, insights, and improvement plans to clients, project stakeholders, and leadership teams.
- Serve as a trusted advisor by translating technical and operational data into strategic business recommendations.
Cross-Functional Collaboration
- Partner with maintenance, operations, project management, and technical teams to validate findings and implement improvement initiatives.
- Establish feedback loops to continuously refine preventive maintenance programs and operational processes.
- Support business optimization efforts through data-driven decision-making.
Qualifications & Experience

Technical Skills
- Advanced proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Word, and Outlook.
- Experience creating dashboards, reports, and data visualizations.
- Ability to analyze operational data, identify trends, and generate actionable insights.
- Experience designing and managing KPIs and performance metrics.
Preferred Experience
- Experience with Quickbase, Oracle Enterprise Systems, and ServiceNow.
- Background in facilities management, preventive maintenance, operations, technical services, or related environments.
- Experience managing vendors, maintenance schedules, and operational programs.
