Job Title: Junior Event Specialist

Your Role: What You’ll Do

As a Junior Event Specialist, you will play a key role in the planning, coordination, and delivery of events, working closely with Event Specialists, Communication Managers, and external suppliers.

Event Planning & Coordination

  • Support the preparation and coordination of logistics for small and medium‑scale event projects.
  • Assist in managing events from planning to delivery, including on‑site and online support.
  • Coordinate multiple tasks and timelines across several event projects in parallel.
  • Provide logistical support during live events, ensuring smooth execution.

Stakeholder & Vendor Management

  • Liaise with suppliers and service providers (venues, catering, technical teams, etc.).
  • Support the setup and follow‑up of vendors, purchase orders, and contracts.
  • Coordinate with internal teams such as communication, creative, and production teams.

Registration & Participant Management

  • Assist in setting up and managing online registration platforms (e.g. CVENT, Swoogo, B2Match).
  • Support participant communication, registrations, and badge management.
  • Assist with travel and accommodation coordination when required.

Online & Hybrid Events

  • Support technical tests, rehearsals, briefings, and live delivery of online or hybrid events.
  • Help manage digital tools such as Zoom, Webex, MS Teams, Interactio, and Sli.do during events.

What We’re Looking For

  • 1+ years of experience in event coordination or event management, ideally in a communication or institutional environment.
  • Strong organisational skills with the ability to manage multiple priorities.
  • A proactive, hands‑on, and solution‑oriented mindset.
  • Excellent communication skills and a collaborative, team‑oriented attitude.
  • High attention to detail and commitment to quality delivery.
  • Client‑oriented approach with a professional and service‑driven attitude.
  • Familiarity with online registration platforms and virtual event tools is a plus.
  • Interest in EU affairs and institutional communication.
  • Strong written and verbal communication skills in English (French or Dutch is a plus; other EU languages are an asset).
  • Awareness or curiosity about how digital and AI tools can support event planning and delivery.
  • University degree in Event Management, Communications, Marketing, or a related field.
